The Office Services Coordinator provides general office services support to staff within the assigned office(s), such as addressing facilities matters and interfacing with the building management and security access companies; provides various office services support to include printing, shipping, purchasing, courier services, property management services; assists with office moves; equipment maintenance; and other administrative support, as needed. The coordinator will maintain a presence in the office daily but will be responsible for multiple locations and will be occasionally required to travel between locations.

RESPONSIBILITIES

  • The coordinator must communicate and coordinate the status of responses to staff requests for assistance with facilities and office services.
  • Main person for interface between building management companies, and management and staff regarding; office temperature, parking, and facility repairs.
  • Completes regular building inspections of assigned locations to Identify and address building maintenance needs e.g., clean carpet stains, repair holes in walls, equipment maintenance issues.
  • Monitor and respond promptly to staff inter-office communications inquiries/requests to the Facilities Group and keep all team members informed.
  • Work with onsite vendors and property managers to ensure break rooms are clean, stocked, and all equipment is in working order. Work with outside vendors when necessary.
  • Purchase and distribute office and housekeeping supplies.
  • Responsible for distribution of Badges that are received from Security Team/ADT. Issue Temp Badges when needed following proper visitor protocol for the location.
  • Prepare mail and packages appropriately for pickup.
  • Monitors and administer various postage and mailing accounts.
  • Operate mailing equipment to process outgoing mail, including coordinating shipment, receipt, and distribution of mail as applicable as well as downloading updated shipping rates and replenishing available funds on meters.
  • Maintain copiers and other equipment. Performing minor repairs, restocking supplies, troubleshooting, contacting service personnel when repairs need to be conducted.
  • Set up Conference Rooms with Audio/Video Equipment, chairs & tables as needed for meetings.
  • Able to handle minor repair & installation issues around office, e.g., installing monitor brackets on desks, keyboard trays, creating & installing nameplates.
  • Maintain spreadsheets for tracking expense payments, invoices, and other reports as assigned.
  • Performs any other duties or Special Projects as assigned
  • Must have regular and predictable attendance.

Qualifications

  • Associate’s degree or 3+ years of related experience
  • Understand standard office practices and procedures.
  • Shipping processes and delivery options for major shipping vendors USPS, FedEx, UPS, including customs requirements
  • Operating copying machinery and equipment
  • Operating personal computers, printers, and related software packages e.g., email, Microsoft Office suite
  • Excellent written and verbal communication
  • Must be self-motivated, have attention to detail, and be able to work without direct supervision.
  • Plan, organize, prioritize, and manage workload based on applicable deadlines
  • Relate effectively to others and as part of a team
  • Work schedule may vary based on location. Must be flexible with schedule. Schedule may occasionally require overtime or weekend work.
  • Required to work in-office 5 days per week.
