The role

We are seeking a driven and highly organized Office Manager to join us in Madrid. This role offers the opportunity to be the backbone of our office culture and create a direct impact by providing the right support to our teams. You will facilitate our daily office operations, partner cross-functionally with different departments, and ensure the delivery of an amazing and efficient workspace experience.


What you will do:

  • Responsible for maintaining inventory and managing office supplies and budgets (kitchen items, snacks, drinks, stationery, and tech equipment), ensuring right stock levels, anticipating needs, and making proactive recommendations.

  • Partner with the marketing and commercial teams on the planning, management, and shipping of promotional materials, brochures, and devices.

  • Collaborate with the People Team to manage end-to-end engagement activities, including planning, communication, and assessing the impact of these initiatives.

  • Contact and coordinate services and project execution with main building stakeholders, local vendors, and maintenance services.

  • Support our new employees' onboarding experience by coordinating building passes, office tours, tech equipment delivery, and general assistance.

  • Coordinate with our Health and Safety provider and building stakeholders to ensure compliance with relevant HSE legislation, proper equipment management, and training deliverables.

  • Create and standardize relevant SOPs, documentation, and resources for the function, elevating the way we currently operate.


What you will bring:

  • Advanced level of both Spanish and English.

  • Relevant experience in business administration, customer service, or project management roles.

  • Clear understanding of how to prioritize tasks and projects in line with business and team needs.

  • Strong attention to detail, as well as excellent organizational and time-management skills.

  • Ability to context-switch and handle multiple tasks; you thrive on change and wearing different hats.

  • Excellent communication and stakeholder management skills.

  • Proficiency with office software and AI tools.
