We are looking for an Office Coordinator to support our team in Missoula, MT. This role is responsible for overseeing the smooth operations of our company facilities and contributes to sustaining an engaging & supportive work culture. This includes creating comfortable, inviting work environments for staff, office ordering and provisioning, and the safe and efficient operation of office spaces and equipment.

This part-time, in-office position is located in Missoula, MT, and reports to the Senior HR Manager.

Your Day-to-day & Key Responsibilities: 

  • Manage the Missoula Office facility to maintain a professional and comfortable environment for all employees. This includes setting up, assembling, and maintaining workspaces for staff
  • Send DoorDash vouchers to in-office staff weekly & coordinate a catered team lunch once a month
  • Coordinate a company happy hour once a month 
  • Purchase office supplies, mainly online, including snacks and beverages, and ensure the kitchen remains stocked. Some errands may require occasional driving. 
  • Light office housekeeping and general upkeep
  • Occasionally assist People Operations & Leadership with events including lunch ordering and workspace setup for various events (i.e. monthly Lunch & Learns, quarterly volunteering events, quarterly executive on-sites) 
  • Run point on maintenance, mailing, shipping, supplies, deliveries, and equipment
    • This includes managing external events related to shipping in conjunction with the Marketing department. You will be responsible for maintaining a schedule of event-related shipments, organizing and packing swag and booth materials, arranging their shipment, and ensuring their return to storage after the event.
  • Manage contracts and communications with office vendors, service providers, and building maintenance  
  • Provide support on various tasks and projects as assigned by People Operations leaders

What You Need to be Successful:

  • 1+ years of experience in related roles preferred 
  • Valid Montana driver’s license and car available for running office-related errands
  • Physical ability to lift large packages and assemble/disassemble items of varying sizes 
  • Excellent communication and interpersonal skills – a strong customer service mindset is preferred
  • Proven ability to field, prioritize, and follow through with multiple requests at once
  • Strong attention to detail and problem-solving skills

Hourly Pay Details: The pay range for this part-time position is $22-26 per hour. Actual compensation is based on the candidate's skills, qualifications, and experience.
