A day in the life.

This position is a five-day-a-week on-site position based out of our Maitland location, from 8:30 am to 5:00 pm.


As our Office Coordinator on the Business Services Group team, you’ll

  • Oversee daily office operations, ensuring a clean, organized, and efficient work environment
  • Partner with the Facilities Team on vendor service coordination
  • Assist with Purchase Order creation and ongoing requests for vendor invoices
  • Process checks and FedEx to appropriate lock box
  • Coordinate and distribute internal communications, announcements, and updates
  • Assist in planning and organizing company events, meetings, and training sessions, including logistics, catering, and material preparation
  • Support printing and mailing needs, including client presentations and proposals
  • Navigate carrier websites and extract documents for processing
  • Manage office supplies inventory, placing orders as needed
  • Answer incoming calls and route appropriately
  • Prepare outgoing mail and overnight packages
  • Maintain copiers and office equipment, assist with copier jams and settings
  • Process new mail tasks in document management systems
  • Monitor Employee Services group inbox
  • Assist with new hire onboarding

  • High school diploma or equivalent
  • At least 2 years of experience in a similar role within a professional office setting
  • Intermediate proficiency with MS Office
  • Ability to analyse and prioritize a variety of tasks and deadlines
  • Strong communication and interpersonal skills with a positive attitude
  • Well organized, strong attention to detail, deadline oriented, and self-motivated

These additional qualifications are a plus, but not required to apply:

  • College degree/certificate or combination of education and comparable work experience preferred
  • Previous office experience preferred
  • Previous phone experience preferred
  • Intermediate computer skills including Outlook, Word & Excel
  • Strong analytical skills and ability to manage multiple tasks
  • Strong organizational skills with high attention to detail
  • Responsive and self-motivated team player
