The Office Administrator serves as the first point of contact for visitors, customers, applicants, vendors and employees. This position is responsible for managing front desk operations, providing administrative support to various departments, and ensuring a professional and welcoming environment for all guests. The Office Administrator performs a variety of administrative, communication, and organizational duties while maintaining confidentiality and professionalism. 

Key Duties & Responsibilities: 

Reception & Ambassadorship 

  • Greet and assist visitors, customers, applicants, vendors, and employees in a courteous and professional manner 

  • Answer, screen, and direct incoming telephone calls 

  • Respond to routine inquiries and direct individuals to the appropriate department or personnel 

  • Maintain visitor logs and ensure compliance with facility security procedures 

  • Maintain a clean, organized, and professional reception area 

  • Receive, sort, and distribute incoming mail and deliveries; coordinate outgoing mail, packages, and courier services 

Vendors & Events 

  • Sign and reconcile invoices for weekly/monthly deliveries, such as uniform delivery company, water supplier, etc. 

  • Customer, leadership and employee event coordination as needed, including researching potential sites or vendors, coordinating with event space or vendor staff, meal planning and coordination, and event space set up 

Cross Functional Administrative Support 

  • Data entry for purchasing related activities 

  • Provide administrative support to other departments as needed 

  • Provides project support as needed, e.g. data entry or reconciliation, safety award distribution, etc. 

  • Monitor and maintain office and kitchen supplies to ensure availability 

Human Resources Support 

  • Provide general administrative support to the Human Resources department, including filing, data entry, document preparation, and record maintenance 

  • Assist with scheduling interviews, meetings, orientations, and training sessions 

  • Coordinate travel arrangements with prospective candidates 

  • Support onboarding activities for new employees as needed 

  • Develop and print incentive letters monthly 

  • Assist with monitoring communication postings and communication calendars 

  • Reconcile and mail birthday cards monthly  

  • Perform other duties as assigned by the Human Resources Manager 

Qualifications & Skills: 

  • Experience: 1–3 years of experience in Human Resources or Office Administration. 

  • Education: High School Diploma required; bachelor's degree in human resources, business, or a related field preferred. 

  • Technical Proficiency: Strong command of MS Office (Word, Excel, PowerPoint) and HRIS platforms (Paycom experience preferred). 

  • Discretion: Demonstrated ability to maintain confidentiality and handle sensitive information. 

  • Communication: Strong verbal and written communication skills. 

  • Organization and Attention to Detail: Excellent organizational and multi-tasking ability, strong attention to detail and customer service orientation.

Skills Required

  • 1-3 years of experience in Human Resources or Office Administration
  • High school diploma
  • Strong command of Microsoft Office, including Word, Excel, and PowerPoint
  • Experience with HRIS platforms
  • Ability to maintain confidentiality and handle sensitive information
  • Strong verbal and written communication skills
  • Excellent organization, multitasking, and attention to detail
  • Customer service orientation
  • Bachelor's degree in human resources, business, or a related field
  • Paycom experience
