Job requirements
The Role
Joining us as the Office Assistant, you'll be part of a vibrant team supporting the Lisbon office in all aspects of its core operations.
You will be collaborating closely with colleagues to manage and enhance our workspace, fostering a stimulating environment.
This role requires a proactive individual with excellent communication skills, attention to detail, and the ability to multitask effectively. Some prior experience within an administrative role would be advantageous.
This role is office-based from our premises in Lisbon (Parque das Nações).
What you will be doing:
Assist in daily office operations, including answering calls, responding to emails, and managing correspondence.
Coordinate meetings, appointments, events, and travel arrangements for staff members.
Prepare and distribute memos, reports, and presentations as needed.
Monitor and replenish office supplies and equipment as needed.
Ensure the office environment is clean, organised, and conducive to productivity.
Liaise with building management and vendors for maintenance and repairs.
Provide administrative support to senior management, including calendar management and expense tracking.
Assist in special projects and initiatives as assigned.
Ensure confidential and sensitive information is treated in the strictest confidence.
What we are looking for:
Proven experience as an office assistant, administrative assistant, or similar role.
Knowledge of office management systems and procedures.
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
Experience in a financial services firm or related industry is a plus.
Excellent organisational and time management skills.
Strong written and verbal communication skills (both Portuguese and English).
Attention to detail and problem-solving abilities.
Ability to work independently and prioritise tasks effectively.
Discretion and confidentiality in handling sensitive information.
Knowledge and/or interest in new technologies such as AI is preferred.
