The Office & Finance Assistant will play a key role in supporting both administrative operations and core finance activities within the organization. This position is responsible for ensuring the smooth running of day-to-day office administration, maintaining accurate financial and client records, and assisting with essential accounting tasks and financial processes.
 
Responsibilities:
  • Act as the first point of contact at the office, welcoming clients and visitors while ensuring a professional and friendly reception experience.
  • Manage day-to-day administrative operations, including handling communications (emails, calls, correspondence) and coordinating internal activities
  • Oversee meeting room scheduling, preparation, and general office organization to ensure smooth daily operations.
  • Maintain organized filing systems (physical and digital), ensuring documents are accurate, accessible, and up to date.
  • Support general office administration, including supplier coordination and basic operational needs.
  • Provide support to the finance function, including invoice processing, basic accounting entries, and assisting with accounts payable tasks.
  • Provide support in recording accounting entries, ensuring accuracy and proper classification of financial transactions.
  • Assist with invoice management, including issuance, validation, and reconciliation, as well as supporting bank reconciliations to ensure consistency between records and statements.
  • Support the organization and preparation of accounting documentation for reporting and month-end activities.

Requirements:
  • Minimum 1–3 years of experience in administrative, finance, or support roles.
  • Previous exposure to accounting or personal income tax (IPT/IRS) processes is a plus.
  • Comfortable performing administrative and front-desk/reception tasks as part of the role.
  • Motivated, proactive, and eager to learn and develop within a finance and administrative environment.
  • Adaptable and flexible, with the ability to support multiple departments while maintaining a primary focus on administration and finance.
  • Proficiency in Microsoft Office, especially Excel and Outlook.
  • Advanced level of English. 
  • Good command of Portuguese, particularly for communication with suppliers and external partners.

  • Ability to manage multiple tasks and adapt to changing priorities.
  • Comfortable handling a mix of administrative, operational, and finance-related responsibilities.

  • Reliable, structured, and hands-on approach to work.
  • Willingness to take initiative and support different areas of the business as needed.
  • Ability to handle confidential and sensitive information with discretion.
