About the Opportunity

The Front Desk Coordinator/ Administrative Assistant is responsible for ensuring the efficient day-to-day operation of the Southaven office while providing administrative and logistical support to the site leadership team. This position serves as the primary point of contact for office administration, document control, scheduling, purchasing, travel coordination, and visitor management. The ideal candidate is highly organized, proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced power generation environment supporting hyperscale data center customers.

Essential Functions

  •  Manage daily office operations and maintain a professional work environment.
  •  Coordinate office supplies, furniture, equipment, and vendor services.
  •  Manage office budgets and purchasing within approved authority.
  •  Coordinate building maintenance and facility issues.
  •  Maintain company files and document control systems.
  •  Manage incoming and outgoing mail and shipments.
  •  Maintain conference rooms and common areas.
  •  Provide administrative support to the Senior Vice President of Operations, Vice President of Operations, Director of Operations, and Site Leadership Team.
  •  Coordinate hotels, airfare, rental cars, customer visits, executive travel, and conference registrations.
  •  Maintain safety documentation, certifications, safety meetings, visitor orientations, OSHA documentation, emergency contact lists, and bulletin boards.
  •  Greet visitors, coordinate customer visits, prepare conference rooms, and provide professional customer support.
  •  Prepare announcements, maintain distribution lists, coordinate meetings, update contact lists, and support leadership communications.
  •  Perform other duties and responsibilities as assigned.

 

Qualifications

Experience/Education

  • High School Diploma or GED required; Associate's degree preferred or equivalent combination of education and experience.
  • 5+ years of office management or executive administrative experience.
  • Industrial, power generation, utilities, construction, engineering, or energy experience preferred.
  • Demonstrated ability to respond promptly and effectively to executive support needs.
  • Proven track record of maintaining document control compliance and accuracy.
  • Experience coordinating meetings effectively, including scheduling, logistics, and follow-up.
  • Ability to deliver a professional, welcoming visitor experience.
  • History of contributing to a positive, high-satisfaction work environment for colleagues and staff.
  • Must be legally authorized to work in the U.S. without requiring sponsorship for employment visa status
