SPAN is looking for an Office Administrator to serve as our onsite point of contact for all things related to the office and as needed, the senior leadership team. Reporting to our Head of Workplace and working closely with our Senior Executive Assistant, this role will make sure every team has what they need to be successful in the office. This is an onsite role, in our San Francisco office five days a week and supporting events at our South San Francisco office or other offsite events. We're looking for someone with 2+ years of administrative, executive or office management experience, sound judgment handling confidential information, strong communication skills, and genuine curiosity to learn about other areas of the business (ie: executive support, HR, recruiting, and workplace operations).
Responsibilities:
Serve as SPAN's onsite point of contact for all things related to the senior leadership team, working closely with our Senior Executive Assistant to make sure every team that touches the C-suite has what they need
Prioritize in-person support for the CEO when they're in the office and/or when needed (ie: client, partner and Board visits, local offsite meetings)
Manage in-person appointments for senior leaders
Support the Senior Executive Assistant with expense report completion or other needs as dictated by the Senior Executive Assistant
Manage documents and confidential information as needed with appropriate discretion
Coordinate and organize in office meetings, social events, and local offsite events in partnership with the Workplace team
Assist with projects with other teams as needed by coordinating resources and tracking progress
2+ years of experience in an administrative, office management, or executive support role
Ability to be onsite in our San Francisco office five days a week
Excellent written and verbal communication skills, with strong attention to detail
Sound judgment and discretion when handling confidential or sensitive information
Strong organizational skills with the ability to manage multiple priorities and stakeholders at once
Proficiency with calendar, email, and productivity tools (e.g., Google Workspace)
A genuine eagerness to learn across executive support, HR, recruiting, and/or workplace functions
Experience supporting C-suite or other senior executives directly
Experience with workplace, facilities, or event planning
Familiarity with expense management tools (e.g., Ramp)
Experience in a fast-growth startup or scale-up environment
