Position Overview

The HR and Office Administrator supports the day-to-day operations of the Human Resources department, serving as a primary point of contact for employees and applicants while ensuring accurate, timely, and compliant HR processes. This role supports hiring and onboarding workflows, employee lifecycle administration, payroll preparation support, internal communications, and office operations.

The HR and Office Administrator partners closely with hiring managers, recruiters, internal stakeholders, and external vendors to support a growing, partially remote workforce, balancing HR operations with office and employee experience responsibilities.

Key Responsibilities

  • Serve as primary point of contact for employees and applicants, responding to HR-related inquiries with professionalism, discretion, and timeliness.
  • Coordinate hiring and onboarding activities, including interview scheduling, offer administration, background and credit checks, new hire paperwork, I-9 processing, and welcome communications.
  • Partner with System Administrator to coordinate equipment provisioning and asset logistics for new hires, including device requests, shipping, tracking, and the return of company-issued equipment during offboarding.
  • Administer and maintain personnel files and HR documentation, ensuring accuracy, confidentiality, and compliance with company policies and applicable regulations.
  • Support payroll preparation activities, including timesheet reminders, resolving unapproved entries and PTO discrepancies, calculating overtime premiums, and reconciling data prior to payroll submission.
  • Conduct exit interviews and guide departing employees through offboarding steps, coordinating with external partners as needed.
  • Draft, update, and maintain job descriptions in partnership with hiring managers to ensure clarity, consistency, and compliance across roles.
  • Prepare and distribute internal HR communications, including onboarding materials, and monthly newsletter that support employee engagement and connection.
  • Maintain HR trackers and operational records, including organizational charts, PTO records, employee rosters, onboarding metrics, and other HR reporting tools.
  • Maintain LOA paperwork.
  • Manage day-to-day office operations for the corporate office, including coordinating office supplies, on-site logistics, and vendor support to ensure a functional and professional work environment.
  • Coordinate recurring in-office activities and employee engagement logistics, including weekly employee lunches and company events, with attention to scheduling, budget considerations and employee experience.
  • Assist leadership with administrative tasks, reporting, and special projects.

Required Qualifications

  • Minimum 2-3 years of experience in an HR administrative, coordinator, or generalist-support role
  • Strong written and verbal communication skills, with the ability to communicate clearly and professionally with employees at all levels.
  • Demonstrated ability to manage multiple priorities, deadlines, and workflows in a fast-paced environment.
  • High attention to detail with strong commitment to accuracy, confidentiality, and follow-through.
  • Good understanding of HR fundamentals, including on-boarding, benefits, administration, and compliance.
  • Basic working knowledge of California and Federal labor and employment laws, including wage-and-hour and various leaves of absense.
  • Proficiency with HR systems, applicant tracking systems (ATS), and standard office software (e.g, Microsoft Office)
  • High School Diploma/Equivalent

Preferred Qualifications

  • Experience supporting remote or multi-state workforces.
  • Familiarity with third-party HR vendors and PEO environments.
  • Payroll Processing for multi-state exempt and non-exempt employees.
  • Experience drafting or maintaining job descriptions and HR documentation.
  • Comfort working with data, trackers, and process documentation to improve operational efficiency. 
  • Thorough understanding of California and Federal Labor Laws.
  • HR Certification or college course work in a related field a plus.

Additional Information

This role requires sound judgment, professionalism, and a high degree of discretion when handling sensitive and confidential information. The Human Resources and Office Administrator is expected to represent the Human Resources function with consistency, integrity, and empathy while supporting operational efficiency across the organization.

This role may also provide cross-functional operational support as needed to ensure continuity of business operations, including processing LTO returns, coordinating shipping or logistics for other departments, and serving as on-site or remote hands for the IT team or remote employees when required.

Work Environment & Physical Requirements
• Typical office work environment requiring regular use of computer equipment and standard office technology.

• Ability to lift up to 25 pounds as needed for office supplies and shipping/receiving equipment.
• On-site presence required.
