C3 AI is seeking an energetic Office Admin to take care of the day-to-day operations of our Guadalajara Office while cultivating a functional and welcoming environment for employees and business guests. This person is depended upon to be courteous, professional, and skilled. Our ideal candidate is a motivated self-starter, highly organized, has a strong sense of urgency, and can prioritize daily, weekly, and monthly duties while maintaining strong attention to detail; someone who can maintain effective office operations, identify areas of improvement, and anticipate the needs of the growing office with an upbeat and approachable attitude.
Please note this position is based full-time onsite at our beautiful office in Guadalajara, Mexico.
Responsibilities:
- Welcome visitors and ensure guests follow all required WeWork access protocols and are connected with their hosts.
- Serve as the primary local administrative support.
- Exemplify and uphold C3 AI workplace culture while providing professional, timely, courteous, and accurate service to employees and business guests.
- Work with the local WeWork team to provide a clean, safe, and productive office environment for all employees; submit service tickets for facilities needs and follow these requests through their completion; manage employee access in the WeWork system; and ensure all vendors adhere to the policies of both WeWork and C3 AI.
- Support inventory management and procurement of office supplies, snacks and beverages, and workstation equipment.
- Maintain organization of the physical office with attention to detail.
- Lead the organization and execution of onsite events and office-level events.
- Be familiar with C3 AI new hire onboarding processes and support local day-1 operations as the office grows.
- Welcome new hires and walk them through C3 AI’s onboarding process, explain the benefits we offer, how they work, etc.
- Provide local administrative support on Executive visits: executive transportation, meeting set up, meal arrangements, and ad hoc projects.
Qualifications:
- Bachelor’s degree required with 1-3 years of related experience
- English proficiency and strong written and verbal communication skills
- Excellent organizational skills, with attention to detail
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams
- Comfortable in a highly collaborative environment with the ability to work well with cross-functional teams
- Ability to prioritize, problem solve, and manage time effectively and work with minimal supervision
- Positive and enthusiastic attitude with the ability to adapt to changing project demands
