Location: Onsite - Spring/Woodlands TX office (Monday through Friday)
Summary Description:
Under general direction, this position will be responsible for maintaining office services by organizing office operations and procedures, controlling correspondences throughout the office, streamlining administrative procedures and tasks, supporting and assisting with limited human resources and limited finance activities, handle day to day operations with a focus on efficiency and time management (timesheet approvals). The Office Manager will oversee key administrative functions across the entire organization. This individual must be a self-starter, possess strong interpersonal skills, and be a team player. Further, this individual must demonstrate a strong work ethic and have great communication skills. Other administrative tasks maybe assigned.
Daily Responsibilities
- Maintains office efficiency by planning and implementing office systems, layouts, and day to day procedures. Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored.
- Designs and implements office policies by establishing standards and procedures; measuring key results against standards; making necessary adjustments.
- Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
- Organize the office layout; order office supplies when needed.
- Organize and document office operations and procedures; ensure these procedures are being followed by staff.
- Schedule meetings and appointments; provide reminders to staff when important events are upcoming.
- Plan in-house or off-site activities such as conferences and celebrations, company events.
- Manage executives’ schedules, calendars and appointments.
Skills and Education:
- Proven office management, administrative or assistant experience.
- Knowledge of office management responsibilities, systems and procedures.
- Excellent time management skills and ability to multi-task and prioritizes work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficient in MS Office
- Knowledge of accounting, data and administrative management practices and procedures
- Knowledge of clerical practices and procedures
- Knowledge of human resources management practices and procedures
- Knowledge of business and management principles
- Computer skills and knowledge of office software packages
- Knowledge of latest technologies pertinent to the ERS discipline.
- 3+ years within an Office Management environment
- Knowledge and understanding of business principles, processes and technology.
- Ability to plan and manage multiple activities in a diverse and evolving environment.
- Proficient in business communication – written and oral and excellent documentation skills
- High proficiency in MS office suite, specifically excel and PowerPoint
