Job Description Summary

The Mixed-Use Operations Analyst is responsible for analyzing and managing operational and financial activities associated with the retail and commercial components of multifamily mixed-use assets. Reporting to the Senior Mixed-Use Operations Specialist, this role independently evaluates lease requirements, financial information, operational issues, and portfolio data to identify risks and opportunities, resolve discrepancies, and determine appropriate actions.
The Analyst serves as a key resource across commercial lease administration, tenant lifecycle management, financial recoveries, operational compliance, data management, reporting, and ownership transitions. The role interprets and applies commercial lease provisions, evaluates financial and operational impacts, and develops solutions based on lease requirements, business practices, and the specific circumstances of each property or tenant. The Analyst owns assigned processes from analysis through resolution and is accountable for the accuracy, timeliness, compliance, and financial and operational outcomes of that work. This includes identifying recovery opportunities, resolving variances and exceptions, mitigating operational risks, maintaining the integrity of lease and financial information, and recommending and implementing improvements to business processes and controls. The Analyst works closely with the Senior Mixed-Use Operations Specialist, elevating matters involving significant financial exposure, legal risk, or precedent-setting decisions as appropriate.

Job Description

ACCOUNTABILITIES

In addition to other duties, this position is responsible for one or more of the following:

  • Review, analyze, and interpret commercial lease agreements and related documentation to determine operational and financial requirements throughout the lease lifecycle, including CAM, utilities, operating expense recoveries, shared amenities, maintenance responsibilities, insurance requirements, and other tenant and landlord obligations. Manage assigned lease administration activities, including lease abstracting, system setup, amendments, assignments, renewals, expirations, tenant changes, and documentation requirements. Exercise independent judgment in applying lease provisions to operational and financial matters, including complex, non-standard, or ambiguous provisions. Elevate matters involving significant financial exposure, legal risk, or precedent-setting interpretations to the Senior Mixed-Use Operations Specialist as appropriate.

  • Own assigned CAM, utility, and other lease-based recovery processes from analysis through resolution. Analyze recovery methodologies, calculations, allocations, reconciliations, and variances; identify discrepancies and recovery opportunities; determine appropriate corrective actions; and monitor results to promote accurate billing and recoveries in accordance with lease requirements.

  • Analyze lease, tenant, property, recovery, and financial data and reporting to identify material trends, variances, discrepancies, risks, and opportunities. Assess financial and operational impacts, develop recommendations, and communicate findings and proposed actions to property teams, accounting, leadership, and other business partners.

  • Maintain accountability for the accuracy and integrity of assigned lease, tenant, financial, recovery, and property information within Yardi and other operational systems. Evaluate data exceptions and discrepancies, determine appropriate corrections, and coordinate implementation to support reliable operational and financial decision-making.

  • Evaluate critical dates, lease requirements, tenant obligations, and operational compliance to identify potential financial exposure, compliance concerns, missed obligations, and operational risks. Determine appropriate follow-up and corrective actions and monitor matters through resolution.

  • Lead assigned analytical and operational workstreams associated with acquisitions, property onboarding and offboarding, ownership transitions, management changes, and portfolio integrations. Evaluate lease, financial, and operational information; identify gaps, risks, and priorities; determine required actions; and coordinate implementation with property teams and other business partners.

  • Serve as a subject-matter resource for commercial lease administration, financial recoveries, tenant obligations, and mixed-use operations. Research and evaluate inquiries from property teams, accounting, tenants, and internal business partners; determine appropriate responses or resolutions; and provide recommendations on matters requiring broader business consideration.

  • Own and continuously evaluate assigned business processes, controls, workflows, procedures, and reporting practices. Identify opportunities to improve efficiency, accuracy, compliance, data quality, financial performance, and system utilization; develop and implement approved process improvements; and evaluate results to determine effectiveness and additional actions as needed.
