OVERVIEW:

Job Duties and Responsibilities

Operational:

  • Provide a critical role in ensuring the successful development and execution of projects across various marketing channels, ensuring deadlines are met and deliverables stay on track.

  • Create and maintain projects for all marketing collateral from campaign approval through release.

  • Work closely with Marketing Operations Manager to ensure tactics are approved prior to execution for smooth transition from strategic planning to production.

  • Manage and track project timelines, reporting, and tracking tools; communicate schedule changes promptly.

  • Identify potential risks within project plans and implement mitigation measures.

  • Collaborate with cross-functional working team and key stakeholders to address changes in scope or deadlines and present alternative solutions.

  • Ensure stakeholder feedback is captured and actioned on in a timely manner.

System Knowledge:

  • Serve as a primary user in Workfront project management software.

  • Maintain and audit workflow and soft-proofing systems to ensure alignment with current processes.

  • Build and update marketing projects in the system, ensuring all project steps and assets are accurately tracked and maintained.

Cross-Functional Collaboration:

  • Leads and participates in cross-functional meetings to align on project deliverables and execution timelines.

  • Partner with Marketing Operations team to support decision-making, resolve roadblocks, and manage project risks.

  • Prepare and distribute meeting agendas and follow-up on next steps to ensure progress.

  • Proactively monitor project status, communicate updates, and escalate issues as needed.

  • Collaborate with internal partners to adjust project timelines, scopes, and resources.

  • Stay informed on product categories and business updates to support effective project execution.

QUALIFICATIONS:

  • Bachelor's Degree in Business, Marketing, or equivalent work experience preferred

  • 1- 3 years of experience in project coordination with familiarity with project management workflow systems

  • Foundational project management skills with exposure to project management software (e.g., Workfront, Asana, Trello); experience building or managing schedules is a plus

  • Highly organized with strong attention to detail and the ability to support multiple projects in a fast-paced environment

  • Demonstrated problem-solving skills with a willingness to learn and make sound decisions under guidance

  • Self-motivated and dependable, with a proactive mindset and a willingness to support process adherence

  • Team-oriented with a collaborative attitude and a focus on results

  • Experience with marketing or advertising projects in a retail environment preferred; retail, agency, or production experience is a plus

  • Strong written and verbal communication skills

  • Comfortable communicating with cross-functional team members and open to learning from others

  • Enthusiastic, positive, and eager to grow within the marketing operations and project management field
