Job Summary
The Program Specialist supports the marine operations team by coordinating marine program initiatives, managing program documentation, and facilitating communication between departments. This role is integral to the structured execution of marine projects and includes organizing program timelines, stakeholder engagement, and supporting project tracking. It requires a strong understanding of marine operations and program management tools to drive program efficiency and support marine project milestones.
Essential Functions
- Partner with marine operations leadership to track project progress, update timelines, and report milestones.
- Coordinate team meetings, workshops, and training sessions, ensuring all logistical aspects are optimized for maximum efficiency.
- Oversee communication channels for the marine team, ensuring alignment and timely follow-up on action items and stakeholder inquiries.
- Maintain and update program documentation to reflect ongoing developments in marine operations, ensuring accuracy and consistency.
- Prepare detailed status reports for senior management, including data analysis, project milestones, and key performance indicators.
- Analyze feedback and data from shipboard and shipyard projects to identify areas of improvement and ensure smooth workflow across all marine operations initiatives.
- Assist in managing marine program resources, including personnel scheduling, vendor coordination, and logistics for urgent supply needs.
- Oversee suite reservations for marine operations, ensuring efficient utilization and approval processes.
- Utilize program management software to assign tasks, track progress, and ensure timely completion of critical marine program initiatives.
CompetencyEducation
- Bachelor’s degree in business administration, Marine Management, or a related field preferred
Skills & Experience
- Minimum five years of experience in an administrative or coordination role, preferably within a business requiring the movement of people and/or goods
- Demonstrated understanding of marine or related operational environments, with experience in program management
- Ability to interpret data and metrics to drive decision-making and process improvements
- Experience in managing multiple projects with attention to timelines and deliverables
- Strong verbal and written communication skills to facilitate cross-departmental collaboration and reporting
- Proficient in MS Office and Smartsheets; experience with MS Project and SharePoint is desired
- Experience with business management and data analysis software relevant to marine operations is a plus
Work Environment
- This is a full-time, hybrid position in Fort Lauderdale, FL
- This role requires a blend of office, shipboard, and shipyard environments
- It may include working beyond regular business hours, but not consistently
- International travel may be required

What We Do
Designed to combine the luxury lifestyle of The Ritz-Carlton® and the casual freedom of a yachting vacation, The Ritz-Carlton Yacht Collection will offer voyages on three custom-built yachts. Calling on unique and distinguished destinations alike, most voyages range from seven to ten nights, offering many overnight calls and uniquely curated experiences ashore. Each yacht will feature 149 suites, each with its own private terrace, and accommodate up to 298 guests in a relaxed, casually elegant atmosphere. As with The Ritz-Carlton® on land, each yacht will feature personalized service, elevated dining and luxury amenities. The yachts are also available for private charter.
