JOB SUMMARY
The Mail Coordinator will be responsible for managing our guests' incoming mail, including receiving mail and packages from various postal services, sorting and entering mail into our database, and working alongside the Housing Advocate team to ensure timely delivery of mail to guests. This role is a critical part of providing stability and essential services to guests working to overcome homelessness.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Sort, file, and distribute client and staff mail in a timely and accurate manner.
- Prepare all outgoing mail, ensuring packages and letters are correctly labeled and stamped for accurate delivery.
- Support Housing Advocates with mail delivery, storage room operations, and other front desk duties as needed.
- Maintain a clean, organized, and clutter-free mail room and storage room.
- Pick up mail from the mailbox and drop off outgoing mail to the post office on a regular schedule.
- Manage office supply inventory and place orders as needed, with director approval.
- Conduct facility tours for clients as required.
- Lead the clean team every Wednesday.
- Support Housing Advocate Supervisors and Kitchen Manager in managing the sack lunch and work verification approval lists.
- File vital documents for clients and coordinate the issuance of these documents with case management.
- Provide trauma-informed customer service to all guests, ensuring everyone is treated with respect and dignity.
- Attend mandatory agency trainings, including Trauma-Informed Care, Housing Focused, De-escalation, Suicide Prevention, CPR, and more.
- Participate in emergency drills and environmental safety activities, as required.
- Follow all agency protocols for security, safety, and sanitation to maintain a clean and secure environment for guests and staff.
- Maintain regular and reliable attendance as an essential function of this position.

EDUCATION AND EXPERIENCE
- High school diploma or GED required.
- Previous experience working with diverse populations is preferred.
- Previous experience working with computers, basic databases, and filing systems preferred.
SKILLS AND EXPECTATIONS
Sort and file mail with a high degree of accuracy and efficiency.
Track and process all undeliverable mail in accordance with established procedures.
Provide reliable support to Housing Advocates and other team members as needed.
Maintain strict confidentiality and handle all client mail and vital documents with discretion and integrity.
Manage and organize inventory of office supplies and mailroom materials.
Strong interpersonal skills and ability to work with diverse populations.
Provide thoughtful and attentive customer service by communicating clearly and handling difficult situations with professionalism, patience, and empathy.
Use basic computer programs (email, spreadsheets, and more) and have basic computer skills.
Ability to accept supervision, direction, and feedback with openness.

What We Do
Originally established as the Traveler’s Aid Society in 1923, The Road Home changed its name in 2001 to better reflect our mission of helping people step out of homelessness and back into our community. The Road Home is a private, non-profit social service agency that assists individuals and families with children experiencing homelessness in Salt Lake County and along the Wasatch Front. The agency has been providing emergency shelter services since 1988 and housing services since 1995. The Road Home began operating under a Housing First model in 2005 and became the central Rapid Re-housing provider in Salt Lake County in 2009. We currently offer emergency shelter services in Salt Lake County with no eligibility criteria for clients to access services including; nightly beds, showers, access to laundry facilities, clothing, blankets, diapers, personal toiletries, etc. Case managers can assist clients in connecting with public benefits, substance abuse treatment, mental health assessment and treatment, job training and development, childcare services, housing assistance and more. Our Salt Lake Community Shelter and Resource Center and Midvale Family Resource Center shelters can be accessed 24 hours/day, 365 days/year. Priority populations like families with children, Veterans and those experiencing chronic homelessness are assigned case managers to facilitate transitioning out of shelter and into housing as quickly as possible. Case managers work with clients to develop a basic needs assessment and a short-term case plan. Once in housing, case managers continue working with clients to help them build the skills necessary to maintain stable housing, increase income, and ensure access to mainstream benefits. This includes conducting in-home visits to ensure participants are meeting the terms of their lease, providing referrals to community resources, and helping to identify and eliminate barriers that have prevented households from finding and/or maintaining housing.
