Join our Enterprise Project Management Office (EPMO) Team as a Legal Project Manager located in our Warsaw Center of Excellence office (remote).

  

This role reports to the Director of Enterprise Project Management Office and requires availability to work in the afternoons (3:00 p.m. to 11:00 p.m.)
 

We are seeking a highly skilled Legal Project Manager (LPM) who thrives in a fast-paced, deadline-driven environment. With a client-focused mindset and a proactive approach, you will anticipate needs, navigate ambiguity, and deliver strategic solutions that support both internal legal teams and external clients. This role operates at the intersection of legal service delivery, legal operations, and client value, driving improved matter economics, enhancing client experience, and contributing to the firm's broader operational maturity through data-driven decision-making and process optimization. Key Responsibilities

Project Planning & Execution

  • Define project objectives, scope, schedule, budget, and success metrics in partnership with sponsors

  • Develop project charters, detailed workplans, and delivery roadmaps

  • Lead geographically dispersed, cross-functional teams to deliver outcomes

  • Execute projects across multiple delivery models, including Agile, hybrid, and traditional frameworks

  • Lead coordinated delivery across testing, deployment, and adoption readiness

Stakeholder Management

  • Serve as a strategic partner and key point of contact for stakeholders, including Practice Group Managers, Shareholders, and Executive Leadership

  • Communicate project status, risks, and issues to leadership, translating challenges into actionable plans

  • Facilitate stakeholder meetings, training sessions, and team engagements

Portfolio Management & Governance

  • Manage the intake, triage, and prioritization of operational initiatives

  • Drive and influence portfolio-level planning, prioritization, and execution

  • Deliver executive-level reporting leveraging data to inform decision-making

  • Develop annual roadmaps in collaboration with Practice Group and firm leadership

Legal Operations & Matter Management

  • Drive adoption of matter management best practices, including structured planning and resourcing models

  • Develop and implement standardized templates, playbooks, and workflows

  • Collaborate with legal operations stakeholders to enhance data quality, reporting, and operational maturity

Client Relationship Management

  • Serve as a client-facing project lead on select engagements

  • Lead and facilitate client requirements, discovery discussions, and solution design sessions

  • Manage and align client and internal stakeholder expectations proactively

  • Deliver client-facing reporting, dashboards, and performance updates

  • Partner with client legal operations teams to align on metrics, reporting, and delivery expectations

  • Support post-matter reviews to identify lessons learned and improvement opportunities

Technical Implementation & Process Innovation

  • Lead implementation of technology platforms, AI tools, and process improvements

  • Apply AI and automation to legal workflows, including document processes, knowledge management, and reporting

  • Evaluate and deploy legal-specific AI solutions (e.g., contract analysis, document generation, matter analytics)

  • Collaborate with IT and data teams to identify automation opportunities and optimize workflows

  • Develop process maps and recommend improvements using data-driven insights

Vendor & Resource Management

  • Serve as liaison between vendors and internal teams

  • Manage vendor relationships, SLAs, performance metrics, and delivery expectations

  • Support RFP processes including evaluation, due diligence, and vendor selection

  • Coordinate onboarding and governance of third-party resources

Change Management & Adoption

  • Drive change management strategies tailored to law firm environments

  • Influence stakeholder adoption, particularly within attorney populations

  • Develop communication plans, training strategies, and adoption frameworks

  • Embed new processes into practice group workflows and governance structures

Monitoring, Reporting & Continuous Improvement

  • Establish and track KPIs, metrics, and project performance indicators

  • Deliver executive-level reporting on project status, risks, and outcomes

  • Proactively identify and mitigate risks and issues

  • Ensure quality standards are met across all deliverables

  • Lead continuous improvement efforts across project management practices and tools

Qualifications

Skills & Competencies

  • Extensive experience managing full project lifecycle (initiation through closeout)

  • Strong understanding of law firm economics, including utilization, realization, leverage, and pricing dynamics

  • Experience supporting profitable matter delivery, balancing client expectations with financial performance

  • Proven ability to translate complex legal and business challenges into actionable strategies

  • Expertise in applying AI, automation, and technology to legal workflows

  • Experience with data visualization and reporting tools (e.g., Power BI, Tableau, or equivalent)

  • Strong analytical capabilities with ability to interpret legal, financial, and operational data

  • Demonstrated success managing complex, multi-project portfolios in fast-paced environments

  • Deep experience with change management and digital transformation in professional services

  • Ability to influence without authority in a partnership-driven organization

  • Advanced stakeholder management and executive communication skills

  • Experience facilitating workshops, stakeholder alignment sessions, and design thinking initiatives

  • Ability to operate effectively in globally distributed, cross-functional teams

  • Strong problem-solving, organizational, and prioritization skills

  • Advanced proficiency in Microsoft Excel, PowerPoint, Visio, and project management tools

  • Knowledge of legal service delivery models and matter lifecycle management

  • Familiarity with legal operations frameworks and best practices

  • Understanding of data structures supporting legal work (time, billing, matter, and document management)

  • Experience supporting or partnering with legal operations functions in law firms or corporate legal departments

Education & Prior Experience

  • Minimum of 7 years of project management experience (law firm or consulting experience preferred)

  • PMP certification required

  • Prior experience supporting legal teams strongly preferred

  • Experience working within a PMO environment

  • Paralegal or legal background considered a plus

Technology

  • Proficiency with Windows-based software and Microsoft Word, Excel, and Outlook required

  • Proficiency with AI tools and their application within legal and professional services environments

  • Understanding of machine learning, natural language processing, and automation use cases

  • Familiarity with enterprise systems, cloud platforms, and information governance standards

  • Ability to assess and implement emerging legal technologies

  • Be a Polish citizen living in Poland or a foreign national living in Poland with the right to work in Poland without a work permit.
