Position Summary:
The Learning Systems & Clinical Programs Coordinator provides administrative and technical support for Education and Organizational Development, with primary responsibility for Learning Management System (LMS) administration and student program coordination. This position maintains LMS data, assignments, certifications, reporting, and system functionality while coordinating clinical student placements, student training, orientations, observations, records, and academic affiliation agreements. The position works closely with Education, Organizational Development, Human Resources, Information Technology, clinical departments, students, faculty, and academic partners.
Position Requirements:
Formal Education / Training:
Associate’s degree from a college or university in a related discipline.
Experience working with a Learning Management System; HealthStream experience strongly preferred.
Workplace Experience:
At least five years’ experience with this type of work.
Qualifications and Skills:
Experience working with a Learning Management System (LMS), strong computer skills including Microsoft Excel, and excellent organizational, communication, problem-solving, and time-management skills required. Must demonstrate strong attention to detail, commitment to data accuracy, ability to manage multiple priorities and deadlines, and appropriate handling of confidential information. Preferred experience includes HealthStream administration; healthcare, hospital, or academic environments; coordination of healthcare students and clinical placements; Articulate Storyline or other e-learning tools; JotForm or similar forms and workflow platforms; HRIS/LMS implementation or system upgrades; process improvement; and advanced Excel functions including data validation, reconciliation, and data imports.
Physical Environment:
Primarily computer-based administrative work with regular interaction with employees, students, faculty, clinical departments, educators, academic institutions, and organizational partners. May require occasional movement throughout the organization to support orientations, student programming, and education activities.
Physical Effort:
Must be able to sit, stand, lift, bend, and use a keyboard and telephone.
Key Results:
Effectively administers and maintains HealthStream, including employee and student records, departments, job codes, student groups, assignments, licenses and certifications.
Maintains accurate and reliable LMS data through routine validation, reconciliation, data cleanup, and appropriate management of system imports and updates.
Monitors required learning, certifications, competencies, and compliance assignments and provides timely, accurate information regarding completion status.
Develops and maintains accurate LMS reports, spreadsheets, and tracking tools that support Education, Organizational Development, leaders, and organizational decision-making.
Provides timely troubleshooting and resolution of LMS-related issues and appropriately coordinates with HealthStream, IT, HR, and other stakeholders when additional support is required.
Maintains system documentation and actively supports LMS changes, upgrades, integrations, workflow improvements, and other initiatives designed to improve efficiency and effectiveness.
Effectively coordinates clinical placement requests, assignments, schedules, and requirements with academic institutions, clinical departments, educators, and students.
Ensures students complete required training, orientation, documentation, and system-access requirements prior to beginning clinical experiences.
Maintains complete, accurate, and timely student placement records, required documentation, affiliation agreements, and related records.
Maintains effective communication and collaborative relationships with students, faculty, academic institutions, clinical departments, educators, and other organizational partners regarding placement requirements, expectations, and deadlines.
Provides effective administrative and technical support for orientation, education, competency, professional development, regulatory education, and other departmental programs and initiatives.
Demonstrates strong organization, attention to detail, problem-solving, confidentiality, and responsive customer service while effectively managing multiple priorities, projects, and deadlines.
