Job Responsibilities :
The Operations Specialist for Order Management and Return Merchandise Authorization (RMA) plays a critical role in ensuring seamless order processing, accurate returns management, and efficient operational support. This position requires a detail-oriented individual with strong problem-solving skills and the ability to collaborate across teams to ensure customer satisfaction and operational excellence.
Key Responsibilities
1. Order Management:
- Process and manage sales orders from initiation to fulfillment, ensuring accuracy and adherence to timelines.
- Coordinate with sales, logistics, and warehouse teams to track order status and resolve any discrepancies.
- Monitor inventory levels and liaise with procurement to ensure product availability.
- Maintain accurate order records in the system (e.g., SAP, Oracle) and generate periodic reports.
2. RMA Coordination:
- Manage the return merchandise authorization process, including issuing RMA numbers and tracking returned goods.
- Ensure returned products meet company policies and quality standards for replacements, repairs, or refunds.
- Collaborate with quality assurance, warehouse, and finance teams to validate and process returns efficiently.
- Update customer accounts and provide regular communication on return status.
3. Stakeholder Collaboration:
- Serve as a point of contact for order and RMA-related inquiries, ensuring timely and professional responses.
- Work closely with customer service teams to address escalations and provide resolutions.
- Partner with IT to troubleshoot system issues and implement process improvements.
4. Reporting and Analysis:
- Generate and analyze data on order fulfillment rates, return trends, and customer satisfaction metrics.
- Identify process bottlenecks and propose actionable solutions to improve efficiency.
- Support audits and compliance reviews by providing accurate documentation and records.
Pre-Requisites :
- Bachelor’s degree in Business, Supply Chain Management, or a related field (or equivalent experience).
- 2+ years of experience in order management, logistics, or a similar role, preferably in a fast-paced industry.
Technical Skills:
- Proficiency in order management systems (e.g., SAP, Oracle, or other ERP systems).
- Strong Excel skills; experience with data analysis and reporting tools is a plus.
Soft Skills:
- Excellent organizational skills with attention to detail and accuracy.
- Strong communication and interpersonal skills to liaise with internal and external stakeholders.
- Problem-solving mindset with the ability to handle multiple priorities under deadlines.
