Job Summary:
The HR Coordinator is the primary point of contact for managers and associates, providing administrative support and tactical execution of HR processes. This role ensures employee records are accurate by completing timely updates in ADP and supporting HR-related workflows. The HR Coordinator supports employee lifecycle events—including onboarding, transfers/changes, leaves of absence (LOA), and terminations—and partners with HR, IT, and field stakeholders to ensure system updates align with operational needs.
Duties and Responsibilities
- ADP Data Entry
- Maintain accurate employee records by processing new hires, transfers/changes, LOA (entering leave begin and return in ADP), and other HR updates as requested.
- Ensure HRIS data is current and compliant with internal procedures.
- Support HR-related workflows and system updates aligned to business needs.
- Create PAFs for payroll processing
- Termination & Offboarding Support
- Support full termination/offboarding events, including:
- Enter terminations in ADP & send termination email to associate
- Submit IT security termination notice
- Enter Motus termination in ADP
- Coordination of Exit Survey launch via Retensa
- First Point of Contact (Field/Shared Support)
- Serve as the first point of contact for general HR questions.
- Route requests appropriately and help ensure timely resolution of HR-related needs.
- Onboarding Support
- Ensure new hire information and documentation are accurate and completed timely.
- Upload documents to ADP
- HR Inbox/Mail and Phone Management
- Manage and respond to inquiries via HR inbox, mail, and phone.
- Provide prompt assistance to employees regarding payroll, policy/procedures, and HR questions.
- Confidentiality and Compliance
- Maintain the security and confidentiality of personnel and HR-related data at all times. Follow all HR policies and compliance requirements
Qualifications
- 2+ years of HR administrative experience
- Experience supporting HRIS/HR systems, with ADP Preferred (including maintaining accurate employee records in ADP Vantage HCM or similar platforms).
- Strong communication and interpersonal skills; able to interact professionally with managers, associates, and external partners.
- Excellent attention to detail and strong organizational skills.
- Ability to maintain confidentiality of employee information.
- Demonstrated proficiency in MS Office (Word, Excel, PowerPoint).
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Flexibility and willingness to learn; desire to progress in HR.
