Summary:
Reporting to the Director, HR, the Coordinator, Human Resources is a member of our entrepreneurial Human Resources & Talent Acquisition team. The main objective of this role is to ensure the highest degree of administrative support in an overall effort to create a unique candidate and employee experience. Act as an Ambassador for the Human Resources team for both internal and external stakeholders, promoting operational best practices in a fast paced, ever-changing environment.
RESPONSIBILITIES:
- Serve as a primary point of contact for day-to-day HR administrative operations, handling all general HR administrative responsibilities with accuracy, confidentiality, and a high sense of urgency.
- Partner with hiring managers and recruiters to manage the full-cycle recruiting process, ensuring a seamless and welcoming candidate experience.
- Collaborate with senior leaders (Corporate Chefs & Directors) to support their international and J-1 employment requests.
- Serve as a resource for immigration and J-1 exchange visitor matters by responding to questions, addressing employee concerns, and providing guidance on guidelines, legal requirements, and internal procedures.
- Track and maintain all visa applications and expiration dates, initiating renewals and next-phase filings in a timely manner. Monthly tracking is essential.
- Assist J-1 exchange visitors throughout their program, including onboarding, regular check-ins, housing and logistics coordination, and adherence to program requirements.
- Prepare, process, and file HR documentation in ADP, including new hire paperwork, status change forms, terminations, and general HR forms.
- Maintain and track candidate pipelines and employee-relations records across ADP and AllVoices.
- Communicate with candidates throughout the recruiting and onboarding process, serving as a consistent and responsive point of contact.
- Administer employee surveys through ADP, including 30-day, 90-day, annual review, exit, and pulse/polling surveys.
- Maintain RDG birthday and welcome announcement emails, and plan office celebrations and holiday parties as appropriate.
- Plan and coordinate community activities and engagement initiatives across RDG venues, including recognition programs, team events, and volunteer and community-service efforts.
- Serve as administrator for the employee engagement platform (AllVoices), supporting rollout, adoption, and day-to-day management across venues.
- Design and produce internal communications, posters, flyers, and announcements that promote RDG programs, culture, and events.
- Order new hire uniforms, IT equipment, supplies, marketing swag, and business cards through the onboarding process checklist.
- Update organizational charts weekly based on ADP records and current headcount.
- Audit ADP records and employee profiles weekly (including status changes and terminations) to ensure accuracy and data integrity.
- Administer the onboarding process and support new hire orientation, including preparing agendas and materials and maintaining Restaurant365 as necessary.
- Support venue operations as needed for orientation, training events, open-call interviews, and community service.
- Maintain a clean, organized, and welcoming corporate office environment, including common areas, supplies, and meeting spaces.
- Support the Chief People Officer and HR & Talent Acquisition team on a diverse range of recruiting, HR, and culture projects that vary in size and complexity.
Requirements/Qualifications: Briefly describe the educational background, licenses, certifications, job-related experience, knowledge, skills, or abilities necessary to perform the job and preferred relevant experience.
- Minimum of 2 years progressive Human Resources or Talent Acquisition experience within a hospitality setting is desirable.
- Bachelor’s degree in human resources or business administration, or related field of study or any equivalent combination of education and/or experience.
- Knowledge of the J1 visa exchange program and regulations.
- Experience working with Applicant Tracking Systems (ATS) & HRIS such as ADP is preferred.
- Proficient in Word, Excel and PowerPoint, Outlook
- Ability to effectively interact with all levels within the organization.
- Ability to handle highly sensitive information in a confidential manner.
- Ability to multi-task in a challenging and fast paced environment, consistently meet deadlines.
- Problem solving skills, attention to detail, and ability to exercise sound judgment.
- Bilingual in Spanish is strongly preferred.

Skills Required
