Position Summary:
Under the direction of the Human Resources Advisor, administer the HR activities for non-academic and academic unionized and non-unionized employee groups.  Act a resource person to managers, employees and  academic administrators in the Faculty of Education on issues related to Human Resources policies, procedures and collective agreements for all employee groups. Process a variety of business processes on Workday related to talent acquisition, benefits, employment life cycle, leaves, compensation and payroll, terminations and retirements.
Primary Responsibilities:

  • Provide support to managers and employees with respect to the day-to-day administration of human resources policies and procedures, including non-academic and non-academic, non-unionized and unionized groups of several collective agreements.

  • Foster and maintain excellent working relationships with the various stakeholders. Act as a resource person to managers, employees and   academic administrators on issues related to Human Resources policies, procedures and interpretation of collective agreements. Consult with Human Resources Advisors on complex cases.

  • Act as a resource person for Workday for all units in Education, submitting, reviewing and approving HR processes. Provide information to faculty members and staff, explaining the handling of the tool, sharing knowledge to ensure smooth functioning of HR processes.

  • Ensure a seamless onboarding and offboarding experience for new hires and outgoing employees by verifying that all onboarding and offboarding steps are completed. Develop and maintain accurate organizational charts.

  • Monitor probationary and trial periods for all new admin & support hires, transfers and temporary assignments. Follow up with employee and supervisor.

  • Monitor staff members on work permits. Follow-up to ensure timely completion of work permit renewal documentation. Liaise with the Immigration Advisor when necessary.

  • Administer recruitment, including preparing and submitting postings, reviewing and ranking applications, setting up interviews, creating offer packages, and hiring.

  • Act as Absence Partner for the Faculty by administering and providing information on all leave types (disability, maternity, parental, extended parental, adoption, paternity, unpaid), ensuring proper processes and documentation, and by calculating vacation entitlements and Summer Fridays for full-time and part-time employees.

  • Gather documentation for grievances, arbitration or disciplinary/administrative cases. Liaise with Labour Relations to ensure deadlines are respected. Identify problems and formulate preliminary recommendations to supervisor. Ensure documentation is accurate and complete.

  • Compile statistics on management of human resources, produce reports and update documents as required. Ensure all record-keeping is complete, consistent and transparent. 

  • Document the training needs of support staff. Administer training programs and provide support to Recruitment Coordinators in the Faculty. Participate in peer training.

  • Participate in special projects. Plan and organize meetings.

  • Perform other duties as assigned and assist as needed with backfill or overlapping of duties with co-workers.

Other Qualifying Skills and/or Abilities

  • Demonstrated experience working in a Human Resources environment.

  • Experience with University HR policies and collective agreements is an asset.

  • Results-oriented with demonstrated ability to plan and prioritize work, collaborate effectively, and work successfully in a team environment.

  • Demonstrated experience handling sensitive and confidential information.

  • Client-focused with strong attention to detail.

  • Demonstrated resourcefulness and sound judgment when addressing complex or sensitive situations, with the ability to identify appropriate solutions and escalate issues when required.

  • Strong problem-solving skills with a solutions-oriented approach and the ability to analyze information, identify issues, and recommend practical, effective solutions.

  • Excellent interpersonal skills and the ability to establish and maintain effective working relationships with stakeholders at all levels.

  • Ability to adapt, manage competing priorities, and work effectively in a fast-paced environment.

  • Proficient in Workday, Visio, and Microsoft Office Suite (Word, Excel, PowerPoint) for reporting, tracking, and information management.

  • Knowledge of French and English: McGill University is an English-language university where day-to-day duties may require communication in English, both verbally and in writing. The level of English required for this position has been assessed at Level 4 on a scale of 0–4.
