The Human Resources Administrative Assistant provides administrative, clerical, and coordination support across Human Resources functions, while also assisting with employee records, HRIS data, HR communications, and employee-facing HR programs. This is an on-site role in Sugar Land, Texas.  Monday - Friday 8:00 AM - 5:00 PM.  Local Candidates Preferred.

 What the HR Administrative Assistant Does Each Day:

  • Maintain accurate employee records and HRIS data, ensuring information is complete, current, and handled confidentially
  • Review and approve routine HRIS workflows in accordance with established procedures
  • Upload documents to the document manager system
  • Maintain accurate employee data on the intranet and upload updates as needed
  • Support onboarding activities, including new-hire orientation logistics and business card requests
  • Provide administrative support for HR reporting, document preparation, data processing, and record-keeping
  • Coordinate company-wide and HR-related events, including communications meetings and celebrations, by researching venue, catering, and entertainment options; gathering quotes; negotiating pricing; and coordinating logistics
  • Answer and screen incoming calls routed to the operator, including customer service inquiries, and direct them to the appropriate department or employee
  • Order office supplies, coordinate catered meals for customer visits and workforce events, and maintain inventory for designated locations
  • Enable and disable badge access for employees and visitors to support secure entry to the Corporate office
  • Serve as a key contact with corporate location building management for maintenance requests, and related facility support
  • Maintain and monitor off-site shredding services for designated locations, including ordering supplies and coordinating special projects
  • Handling mail and deliveries, including sorting, distributing, and scheduling courier pickups as needed
  • Greeting clients, visitors, and staff with a professional and courteous demeanor and managing check-ins with efficiency
  • Managing a multi-line phone system to answer and redirect calls promptly while maintaining professionalism
  • Monitor incoming customer service correspondence received by fax and distribute it accordingly

Minimum Requirements for this Role:

  • Legally authorized to work in the job posting country
  • High school diploma or GED required
  • 0–2 years of Human Resources, administrative, clerical, or office support experience
  • Knowledge of employment law, HR practices, general office procedures, data processing, filing, and record-keeping.
  • Experience supporting multiple professionals in a fast-paced, highly dynamic work environment
  • Advanced proficiency with Microsoft Excel, Word, PowerPoint, and Outlook
  • 18+ years of age
  • Able to successfully complete a drug and background check
  • Must be currently authorized to work in the United States on a full-time basis; Quva is not able to sponsor applicants for work visas

Any of the Following Will Give You an Edge: 

  • Associate’s or Bachelor’s degree in Human Resources, Business, or a related field
  • Familiarity with recruiting systems, HRIS, and related software
