We are seeking a bilingual HR Support Representative to serve as the first point of contact for employees, managers, candidates, vendors, and other stakeholders with HR-related questions and requests. This role is responsible for responding to inquiries regarding HR policies, procedures, and programs through multiple communication channels, including phone, email, chat, web requests, and in-person interactions.
The ideal candidate will provide exceptional customer service, accurately document and track inquiries in HR systems, collaborate with HR specialists to resolve issues, and escalate complex cases when needed. This position also contributes to process improvement initiatives, maintains knowledge resources, and supports HR administrative and purchasing activities.
Key Areas of Responsibility:
- Primary responsibility of role is to respond to inquiries regarding HR policy and procedure
- Represents the company as first point of contact for HR related requests/ concerns/ questions for current and former employees, third parties and vendors
- Position interacts with managers, prospective candidates and employees via e-mail, web requests, chat, phone or in person
- Works directly with employees, HR specialists and other teams to resolve a query
- Gathers information and records data in HR tools, trackers and database
- Escalates a query to appropriate Specialist or Subject matter expert in case needed
- Suggests and works on process improvements and updates continuously
- Provides feedback regarding accuracy of knowledge articles and processes documented to supervisor
- HR Purchasing
Key Tasks
- I9 Reverification: HRC coordinates with managers whose employees’ work authorization is expiring and ensures the I-9 is reverified on or before the deadline.
- State Separation Notice: A weekly termination report is generated and used to complete existing State Separation Notices for specific states (Georgia, California, New Jersey, etc.) and send them to former employees’ recorded personal email addresses. If no email address is found on record, the State Separation Notice must be mailed.
- US FAS Calc and RIF Packet Creation Process: HRC generates a report in Workday to obtain the necessary details for the FAS calculation of an impacted U.S. employee, then creates a RIF packet that includes the required separation details.
- Severance Processing – Salary Continuance: Once signed documents and assets are returned, HRC initiates the salary continuance process in Workday.
- Lump Sum Severance Payment via Workday: When RIF letters or mutual agreements clearly state that severance payment will be paid as a lump sum, HRC processes the lump sum severance payment in Workday.
- US – Wage Requests: U.S. employees injured in the course of employment are covered by workers’ compensation and may be entitled to payment for medical expenses and lost wages, if applicable. The third-party administrator, Gallagher Bassett, reaches out for wage requests.
Basic Qualifications and Requirements:
- At least 1 years’ experience in HR environment
- University Degree
- Fluency in Spanish and English language
- Previous experience in HR Administration (preferably in a large corporation/ 500+ employees and mass document preparation is an advantage)
- Advanced MS Office skills
- Excellent communication skills
- Previous experience in client-facing environment preferred
- Fluency in Portuguese preferred
