German Speaking Client Services Coordinator
Location: Warsaw (hybrid)
The base salary for this position starts from 84000 PLN gross annually
About the role:

In this role, you will play a key part in coordinating internal resources, managing schedules, supporting operational delivery, and providing an exceptional experience for both internal and external stakeholders. Working closely with colleagues across multiple teams, you will help maximise diary availability and achieve performance targets whilst contributing to operational success.
Key Responsibilities & Accountabilities:
- Schedule Initial, Surveillance, and Re-assessment audits in alignment with client needs, auditor availability, and certification requirements
- Coordinate and confirm audit dates with clients, auditors, and internal teams
- Ensure audits are scheduled within agreed timelines, considering client and auditor constraints
- Track and manage audit workflow from assignment to completion
- Update and maintain internal systems with accurate auditor assignments and client details
- Provide support for auditors and clients in the event of unplanned changes, cancellations, or emergencies
- Quickly address and resolve scheduling conflicts or changes, ensuring minimal disruption to audit timelines
Skills & Abilities:
- Fluent German and English language skills (C1 level)
- Additional European language skills would be an advantage
- Proven experience in planning, scheduling, or operations, preferably within a client-facing or service delivery environment.
- Demonstrated ability to coordinate across cross-functional teams (e.g., Operations, Technical, Audit, Commercial) to align on resource and delivery planning.
- Able to maintain work deadlines and manage conflicting priorities
- Good communicator, able to work proactively with people at all levels in business, internally and externally.
