Department Description
Global HR Shared Services function is a central hub of capabilities to provide HR Support Services, Payroll, Background Vetting services & HR Regulatory Operations to staff and HR teams across all business areas of FIL & Eight Roads. The objective of the function is to leverage HR technology infrastructure to deliver efficient HR processes and aim for operational excellence globally. Our team members are based across India, China, UK and Luxembourg to provide these services globally within FIL. The Service Delivery Team sits within the Global HR Shared Services function and works in partnership with all HR teams and business groups to provide assistance in the area of HR administrative services, Payroll & Benefits related activities and HR regulatory compliances. The team is responsible for managing the payroll and administrating the benefits for the organization’s international locations, for designing and implementing various HR administrative practices and procedures, as well as for the maintenance of employee records and delivering services in a consistent and effective way across the organization.
The HR Support team is responsible for the provision of administration support and processing activities relating to an employee’s work life cycle from hire to retire and post retirement. This team is performing HR processes such as Contract generation, Onboarding new joiners, Employee record management and Job/Organization changes, Exits management. This team is working in partnership with the other HR stakeholders such as HR Business Partners, Talent Acquisition, Reward, Payroll, Background Vetting, HR Legal and HR Information Systems, as well as all business stakeholders globally.
Purpose of the Role
This role is responsible for execution of the various HR processes in the HR support team ensuring all activities and responsibilities are performed effectively and efficiently. Focussing on adhering to the enterprise risk and data protection management standards, executing controls for all processing tasks as per defined and agreed SOPs.
Key Responsibilities
- Execute HR processes for Starter/New Hires, Leavers, Changes, Reference Letters & Regulated References, Maternity, Paternity/Parental/, Flexible Working, Reports, Sickness/Absence, etc.
- Effective and timely response to queries and requests received by the Ask HR platform in line with SLAs
- Ensuring the data held on Workday (HR System) meets accuracy and quality standards
- Effective data recording within employee electronic/physical files to meet data protection rules & guidelines
- Produce standard operating procedures of the HR processes and ensuring these are reviewed and approved as per HRSS governance.
- Collaborate with other HRSS and CPO team members to ensure global alignment of processes and a consistent approach
- Work with the Payroll team to ensure essential and accurate information is provided which impact payroll processing and salary payments to the employees as per defined processes
- Participate in the project and change meetings and ensure impact of the changes on processes is understood. Update the SOPs for the changes in processes or technical system changes
- Keep updated the standard operation procedure documentation
- Perform data reconciliation to determine and maintain accuracy in HR core system
- Assist training other team members on the process, systems and applications as and when required
- Understand and maintain high degree of confidentiality with respect to employee data
- Participate in Workday and other system related testing of data updates and accuracy
Experience and Qualifications Required
- Graduate or master’s degree (HR)
- Fluent English (spoken and written)
- Demonstrate a strong knowledge of HR Operation processes
Systems Skills
- Strong Microsoft Excel, Outlook, Word and PowerPoint skills
