As a Front Desk Specialist your primary goal is to keep the workflow going to the rest of the revenue cycle. As many different types of correspondence comes into our office, either electronically or via paper, we scan, sort, and distribute to all other departments. Another primary function is to answer the front door to greet and assist guests as well as route phone calls to the appropriate personnel. Front Desk Specialists are responsible for many other daily job duties as well.

Duties & Responsibilities:

  • Downloading daily lockbox deposits, ACH summaries, and general correspondence.

    • Distributing correspondence daily in our billing and document systems.

  • Distributing incoming mail to applicable departments and personnel.

  • Preparing and sorting any correspondence & patient charts that come to our office via FedEx, UPS, or US Mail.

    • All documents must be scanned into our document system and then stored securely and appropriately per federal regulations.

  • Run outgoing mail through our postage machine each afternoon.

  • Running quick fields for our coding department.

  • Printing paper claims validations for all clients.

  • Printing, organizing, and mailing daily HCFAs.

    • Distinguishing paper claims in which should be submitted electronically and notifying the appropriate personnel.

    • Identifying secondary HCFAs and retrieving primary EOBs to be mailed with the secondary claims.

    • Obtaining applicable notes to be mailed with WC and VA claims.

  • Daily monitoring of all automated updates in the billing system and manually update if needed.

    • Identify processing batches in our billing system that are left open by the process center and notify the appropriate team leaders.

    • Prepare and bill electronic claim files 3 days out from our end of month closing.

    • Building patient statement files.
