Position Summary
We are seeking a professional and organized Front Desk Receptionist to serve as the first point of contact for clients, visitors, vendors, and callers. This position plays a key role in maintaining a welcoming office environment while providing administrative support and assisting with daily office operations.
Key Responsibilities
Reception & Client Service
- Greet clients, visitors, and vendors professionally and courteously.
- Notify advisors and staff of client arrivals.
- Answer and direct incoming telephone calls.
- Respond to general inquiries and provide excellent customer service.
- Maintain a clean and professional reception area.
Administrative Support
- Perform filing, scanning, copying, and data entry.
- Assist with document preparation and general administrative tasks.
- Maintain accurate records and filing systems.
- Support special projects and assignments as needed.
Conference Room & Office Coordination
- Schedule and monitor conference room reservations.
- Prepare conference rooms for meetings, including arranging materials and refreshments.
- Ensure conference room technology is operational.
- Reset conference rooms following meetings.
Mail & Office Operations
- Receive, sort, and distribute incoming mail and packages.
- Prepare outgoing mail and shipments.
- Maintain inventory of office and kitchen supplies.
- Restock coffee, water, paper products, and other office essentials.
- Assist in maintaining clean and organized common areas.
- Coordinate with vendors and building management as needed.
Qualifications
- High school diploma or equivalent.
- Previous receptionist, administrative, customer service, or office support experience preferred.
- Strong verbal and written communication skills.
- Proficiency with Microsoft Outlook, Word, Excel, and Teams.
- Strong organizational skills and attention to detail.
- Ability to multitask and work independently in a professional office environment.
Physical Requirements
- Ability to sit, stand, and walk throughout the workday.
- Ability to move throughout the office to support daily operations.
- Ability to bend, reach, carry, and transport office supplies.
- Ability to lift and move up to35 pounds, including cases of bottled water, cartons of printer paper, office supplies, and meeting materials.
- Ability to assist with conference room setup and office supply organization
Skills Required
- High school diploma or equivalent
- Previous receptionist, administrative, customer service, or office support experience
- Strong verbal and written communication skills
