The Office of Research & Technology in Defence and Security (ORTDS) invites suitable candidates to join the department as Senior Executive/Executive - Research & Centre Support. The department supports research collaborations through a diverse range of activities and facilitating interactions across many operational domains in NTU. Reporting into the Assistant Director, the ideal candidate should be adaptable and agile and will be provided with opportunities to learn various functions in NTU. The role will be handling research administration matters and other centre-level administration tasks. The candidate should have exceptional organisational abilities, and the ability to handle tasks with discretion and professionalism.

Responsibilities

1. Research Administration - Supporting and executing tasks required for research programmes and grant administration

  • Maintain records and schedule tracking for project/programme progress, status and deliverables

  • Execute claims verification, corrections, processing & invoicing

  • Operate enterprise and national level grant management system

  • Point of contact for funding or grant queries (various process and funds management)

  • Preparing grant account and progress reports

2. General Centre support - Executing a broad spectrum of day-to-day operational and administrative tasks

  • Execute routine facility usage end-to-end workflow, including issuing quotations, PO management, credit records, invoicing, usage verification and user application

  • Execute finance tasks such as procurement, reimbursements and travel arrangements for the centre

  • Support events and publicity efforts such as meetings, visits and website maintenance

  • General office administrative support such as managing department and HOD’s meetings, managing office and pantry supplies

3. Other secondary administrative roles and responsibilities assigned

Requirements

  • Diploma or Bachelor's degree, Business Administration, Science, Technology, Engineering, Mathematics or related fields are preferred

  • At least 1-2 years of administrative, finance, event or project management knowledge or experience will be preferred

  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Savvy with AI tools and comfortable to pick up new digital/online systems

  • Excellent organisational, time management and planning skills, with the ability to prioritise tasks effectively

  • Ability to work independently and collaboratively in a fast-paced environment

  • Conscientious, detail-oriented with a high level of accuracy

  • High adaptability and interest to learn new scopes
