The Senior Housing Operating Portfolio (SHOP) Asset Management team leads performance across senior housing operating communities. The team collaborates with operators to identify opportunities that drive occupancy, pricing, and overall results. Data-driven insights and field engagement enable agile decision-making that enhances both resident experience and portfolio performance.
About the Role
The Executive Assistant provides high-level administrative and organizational support to the Senior Vice President, Chief Operating Officer – Senior Housing, as well as their direct leadership team. This is a high-impact, fast-paced role that requires exceptional judgment, discretion, and the ability to anticipate needs in a complex operating environment. The ideal candidate is proactive, agile, highly adaptable, and able to pivot quickly in response to shifting business needs, helping ensure the smooth execution of priorities across the Senior Housing platform. Key responsibilities include:
Provide direct executive support to the SVP, Chief Operating Officer – Senior Housing and designated direct reports.
Manage highly complex calendars, including scheduling, prioritizing, and coordinating meetings across internal and external stakeholders.
Coordinate domestic and international travel arrangements and prepare timely, accurate expense reports.
Serve as a primary point of contact for internal and external communications, exercising sound judgment and professionalism and maintaining confidentiality.
Prepare, edit, and organize presentations, reports, meeting materials, and correspondence for senior leadership.
Support meeting logistics, including agenda preparation, materials distribution, and follow-up on action items.
Partner closely with leaders across operations, finance, and cross-functional teams to ensure alignment and execution of priorities.
Exercise strong judgment in managing competing priorities across multiple senior leaders, quickly recalibrating schedules and support based on shifting business needs.
Qualifications
Bachelor’s degree in Business Administration, Communications, or a related field.
8+ years of experience as an Executive Assistant providing direct support to multiple executive-level leaders (C-suite, EVP/SVP, or equivalent); professional services experience (e.g. financial services, asset management, consulting, advisory) required
Must be located in New York, NY surrounding area or willing to relocate for the duration of employment.
Willingness to adapt and thrive in a blended work environment with 4-days in office, seamlessly transitioning between remote work and in-office operations.
Flexibility to extend working hours as needed to meet the on-call demands of senior leadership, including after-hours communication and coordination.
Advanced proficiency in Microsoft Office Suite, especially Outlook, PowerPoint, and Excel.
Demonstrated ability to remain agile, highly adaptable, and solution-oriented, with strong judgment in reprioritizing work and pivoting quickly in response to changing business needs.
Strong written and verbal communication skills with high level of integrity, discretion, and professionalism.
Must be legally authorized to work in the United States without need for employer sponsorship now or in the future.
The estimated base salary range for this position is $90,000-$145,000 per year. This range reflects a good-faith estimate of the base salary Ventas reasonably expects to pay at the time of posting. Actual base pay will be determined based on work location, skills, qualifications, relevant experience, and business needs.
In addition to base salary, this role is eligible for discretionary incentive compensation and a comprehensive benefits package, which includes medical, dental, vision, retirement savings, paid time off, and other wellness benefits under applicable plan terms.
