Role Overview:                      

To provide assistance and support to senior company management and executives as may be required.  
 

What you will do:

  • Calendar management & meeting scheduling:  Manage and schedule meetings, travel and to ensure that the information is accurately noted in the Executives’ calendars. Ensure that the calendars are updated at all times. Coordinate, arrange and confirm meetings, follow-up with Clients on meeting requests. 
     
  • Communication: Liaise with Clients and other points of contact. Ensure accurate and precise communication at all times. Replies and feedback must be communicated and updated to the respected Executive regularly. Handle correspondence such as letters, emails, invitations, etc., as directed. 
     
  • Travel management:   Make travel arrangements as requested and ensure that the confirmed travel itineraries are communicated to the Executive and noted in the respective Executive’s calendar. 
     
  • Meeting & Event Coordination: Assist, plan and coordinate events as required. 
     
  • Visit & Client Reports: Transfer visit/meeting details into the CRM system within three (3) days. Ensure that the document is checked and distributed to the intended recipients in a timely manner. 
     
  • Expense Reports: Collate, reconcile and submit expense claims into Peoplesoft. 
     
  • Others: Perform other routine and non-routine tasks as maybe requested from time to time such as the preparation of letters, reports, presentations, Minutes of Meetings, conduct research & compile data, update Client database & other company database and to effectively and efficiently coordinate with other departments and Executive Assistants as necessary. 

Requirements:

  • 7+ Years progressive administrative experience. Required.
  • Excellent command in spoken and written English. Required.
  • Excellent communication skills. Required.
  • Extensive knowledge of international travel arrangements. Required.
  • Excellent Calendar management. Required.
  • Superior level of professionalism, discretion and dependability. Required.
  • Ability to co-ordinate many high-priority deadlines simultaneously. Required.
  • Excellent administrative skills with a strong focus of attention to details. Required. 
  • Strong time management and organizational ability. Required.
  • Be flexible to work outside regular business hours, when required. Required.
  • Be discreet and able to maintain high level of confidentiality. Required. 
  • Ability to use own initiative and work independently as well as within a team. Preferred.
  • Highly motivated, proactive and enthusiastic. Preferred.
  • Ability to prioritize and make routine decisions independently. Preferred.
  • Can work under pressure. Preferred.
  • Excellent computer skills, especially MS Word, Excel and PowerPoint. Preferred.
