**This is a 4 month contract position**
Overview:
The Executive Assistant (Temporary Contract) will provide a full range of administrative support to the Country Manager (Paris, France). The employee must be highly professional, be detail oriented, and exhibit strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment. Candidates must have PA experience supporting senior management and demonstrate a high level of discretion when dealing with sensitive and confidential information.
Responsibilities:
- Act as a business support for the France Country Manager by preparing reports, presentations, etc.
- Raise purchase orders and quotations / check invoices as necessary
- Excellent communication skills in typing memos or letters and being in contact with executive level Managers
- Maintain and update reports and databases as necessary
- Organize meetings and conference calls, both internal and external
- Provide PA support to the France Country Mangaer including but not limited to; extensive diary management, monitoring incoming correspondence, screening calls, collating expenses on a monthly basis, collating monthly report data
- Coordinate travel bookings (domestic and international) for the France Country Manager and provide booking assistance to Executives/Senior Management visiting the France office as necessary
- Provide additional cover for other administrative staff during absences or when assisting with specific projects
- The position requires a proactive self-starter who can anticipate the needs of not only the France Country Manager but also his/her entire staff
- Participate in company meetings, take minutes as required, follow up on actions
- Act on behalf of the Managers as a liaison between internal departments, offices and clients.
- Provide assistance when the France Country Manager are travelling. This may include checking voice mail, telephone calls and messages
- Create dashboards and sales analysis reports to follow-up the Sales budget
- Organise internal and external company events as directed including but not limited kick off, team building, customers events, shows,
- Main contact between Legal and Sales Department for customers contracts and tenders documents procedures
- Prepare presentations and documents for all internal and external meetings
- Provide additional/flexible support to the HR manager and Admin Team as requested
- Other responsibilities assigned by the HR manager
Qualifications:
- 3+ years of experience as an Executive Assistant/Senior Administrator in a fast-paced environment.
- Excellent speaking/ writing French and English language
- Superior communication skills complemented by high standards of work and presentation.
- Build excellent working relationships with stakeholders.
- Self-motivated, possess good planning skills and demonstrate high attention to detail.
- A flexible, well organized team player with strong problem solving skills, able to work under pressure while maintaining accuracy.
- Advanced skills in Microsoft Word, Excel and PowerPoint and proven experience in an administration position within a corporate environment.
- Qualifications in Office / Business Administration will be highly regarded.
- Ability to communicate effectively whether via verbal or written communications with all levels of the organization
- Good proofreading and grammatical skills
- Ability to work under pressure
- Strong operational autonomy and proactive
- A highly reliable, personable, energetic, professional attitude; willingness to do whatever it takes to get the job done correctly and on time
