Role Summary:

Provide high-level administrative support to Americas Executive Leadership team. Successful candidate possesses proven time-management skills and ability to identify and anticipate the leader’s needs. The role must interact seamlessly and with a professional demeanour across all levels of the organization.

Job Scope/Supervision:

The role does not have direct reports but will be a resource to other executive assistants within the organization.

Duties and Responsibilities:

  • Assist with managing the Leadership Team’s calendars, making travel arrangements, and coordinating with time zones across the globe
  • Schedules and attends meetings on behalf of executives, preparing slides, taking notes and distributing minutes as required
  • Coordination for virtual and in-person executive meetings, including agenda, meeting materials and resources, and catering
  • Provides support with expense reimbursement for executives, as well as system support
  • Prepare and organize important legal and strategic materials and plans, and support board meetings and preparation of board materials
  • Maintaining confidential and non-routine information

Required Experience/Qualifications:

  • Excellent verbal and written communication skills
  • Excellent organizational skills and attention-to-detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to function effectively in a high-paced environment
  • Extensive knowledge of office administration, clerical procedures, and record-keeping systems
  • Proven ability to be pro-active and perform job duties independently
  • Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook)

Desirable Experience/Qualifications:

  • High school diploma required. Bachelor's degree is preferred
  • 4+ years of relevant experience in supporting a C-Suite executive

Hours/Travel/Shift:

  • Standard hours M-F with ability to work outside standard hours when necessary
  • Travel is less than 10%

  • Calendaring: Knowledge of office electronic scheduling software; ability to use scheduling software to create, review or manage schedules.
  • Office Administration: Knowledge of office administration activities; ability to carry out ongoing office administration tasks effectively and efficiently in support of local and remote teams.
  • Data Gathering and Reporting: Knowledge of tools, techniques and processes for gathering and reporting data; ability to practice them in a particular department or division of a company.
