Executive Assistant

The Executive Assistant will provide business operations and administrative support to the CEO. Strong analytical abilities and ability to quickly adapt in a fast-paced environment is a must. This individual must be comfortable managing both executive and personal assistant duties.


Responsibilities and Duties:

Executive Support

  • Maintain calendar and contact database, schedules appointments, completes travel or conference arrangements and may arrange meetings and conferences for multiple work groups in multiple time zones
  • Manages multiple priorities and communications within multiple work groups
  • Submit and reconcile monthly expense reports
  • Plan meetings and where required take detailed minutes
  • Support various department events onsite and offsite
  • Assist in the preparation of regularly scheduled reports
  • Exhibit appropriate discretion with sensitive information
  • Develop an understanding of Leadership calendar preferences and learn to protect working time from meeting requests
  • Provide back-up to Leadership Executive Assistant, as needed
  • Support onboarding of department new hires, as needed

Office Support

  • Greet and assist CEO and Commercial Team onsite visitors
 Requirements
  • Minimum of 3-5+ years’ proven experience as an Administrative Assistant supporting executive level leaders
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • High level proficiency in MS Office (MS Outlook, Word, Excel, and PowerPoint), and a nimble student of new systems & software.
  • Excellent time management skills and the ability to prioritize work
  • Strong attention to detail with the ability to meet time-sensitive deadlines and independently manage changing priorities
  • Attention to detail and possess problem solving skills
  • Excellent written and verbal communication skills with strong focus on effective relationship building
  • Strong organizational skills with strong understanding of urgent and important
  • Bachelor degree, preferred
