Position Summary

We are looking for an Executive Assistant to support the Global CEO and Marketing team with logistics and administrative duties associated with Marketing, Communications, and Chief of Staff duties. As the Executive Assistant, you will support the team with core administrative tasks (scheduling, travel, expenses, and ad hoc projects), as well as assist with preparing PowerPoint presentations, organizing department and cross-department meetings. The right person for this role is a self-starter proficient in multi-tasking and anticipating opportunities to be helpful. Problem solving and attention to detail are an absolute must, as are good instincts and exercising high judgment in uncertain situations. Outstanding interpersonal and communication skills are critical as well. If you are someone who is a team player with the ability to work under pressure, then this is a great role for you.

Responsibilities

  • Coordinate extensive and complex global/domestic travel plans including passport and visa arrangements, often under limited time constraints
  • Coordinate all aspects of meetings/conference calls and events; reserve locations, send meeting invitations, manage attendee lists, catering, coordinate audio/visual, and assist with preparing agendas and meeting materials
  • Manage multiple calendars; ability to make decisions regarding availability and follow up when meetings change and/or need to be moved
  • Attend meetings and assist in the preparation of documents necessary for meetings (e.g., PowerPoint presentations, informational one sheets, basic research), in partnership with the Marketing team
  • Handle confidential issues and information
  • Submit expense reports in a timely manner
  • Support peers on the admin and office management teams; act as a team player
  • Occasional evening and weekend work required, and ability to travel on occasion

Required Skills & Experience

  • Demonstrated ability to work independently in a fast-paced environment
  • Proven skills at building and maintaining business relationships, multi-tasking and being graceful under pressure
  • Strong organizational skills, with a passion for details and clear system for tracking tasks and prior decisions
  • Excellent verbal and written communication skills
  • Strong technical proficiency in all MS Office applications (Word, Excel, PowerPoint, and Outlook)
  • A “can-do” attitude: nothing is too large or too small
  • Ability to work effectively as a team member and not afraid to jump into new projects and support the team

Desired Skills & Experience

  • 6+ years experience supporting executives (preferred)
  • Experience working for a Senior Vice President or higher level executive
  • Concur expense management a plus

The salary range for this position is posted below.  Where an employee or prospective employee is paid within this range will depend on, among other factors, actual ranges for current/former employees in the subject position, market considerations, budgetary considerations, tenure and standing with the Company (applicable to current employees), as well as the employee’s/applicant’s skill set, level of experience, and qualifications.
