Provides high-level administrative support for the Security First Managers executive team, expense reporting, calendar oversight, and email management. The ideal candidate should be well-organized, comfortable scheduling meetings and responding to emails on behalf of executives, proficient in Microsoft Office, and possess excellent communication skills. They should also be able to draft documents and assist with meeting preparations.
Work is performed under limited supervision with moderate latitude in the use of initiative. Position relies on experience and exercises independent judgment based on subject-matter expertise in the area of specialization.
Essential Job Functions:
- Manage calendars, scheduling, and communications for executive leadership.
- Serve as a primary liaison for internal and external stakeholders while maintaining confidentiality and professionalism.
- Prepare, proofread, and coordinate correspondence, presentations, reports, agendas, and meeting materials.
- Attend meetings, document key discussions, distribute action items, and follow up to ensure timely completion.
- Support executive leadership with projects, special assignments, business proposals, and progress tracking.
- Coordinate travel arrangements, resolve travel-related issues, and process travel and expense reports.
- Plan and support corporate events, team meetings, conferences, board-related activities, and catering needs.
- Provide administrative and personal assistance as needed, including office supply management and other support functions.
Minimum Requirements:
- 1+ years of administrative assistant work experience
- High school diploma or equivalent
- Proficient in Microsoft Office suite (2+ years), including Word, Excel, PowerPoint, and Outlook
- Experience in managing multiple priorities, administrative coordination, and logistics
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Strong written and verbal communication skills
- OR an equivalent combination of education, certification, training, and/or experience
Skills Required
- 1+ years of administrative assistant work experience
- High school diploma or equivalent
- 2+ years of proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
