The Executive Assistant is directly responsible to the COO, CFO and Executive Director (Health). This individual will also assist other members of the Executive Council, including the President/CEO and Executive Council members, as needed. The Executive Assistant will assist the direct reports of the COO, CFO and Executive Director (Health), as needed. The Executive Assistant is proactive, has excellent communication and interpersonal skills and must be able to work independently, assume self-direction and is responsible to ensure that the administrative functions of the Executive Office are managed appropriately to provide an organized, prioritized flow of information to and from the COO, CFO and Executive Director (Health).  This person must recognize and respond appropriately to a variety of sensitive and/or confidential information and is expected to exercise a high-level of discretion and confidentiality. The Executive Assistant is expected to manage calendars, schedule and coordinate meetings, perform targeted research, filter requests, communicate with internal and external stakeholders on behalf of the President/CEO, COO, CFO and Executive Director (Health), act as a Board liaison, and assemble meeting packets and record minutes for Board and Committee meetings, manage and organize electronic and paper files, track priorities, office operations and management.


MINIMUM JOB REQUIREMENTS:
  • Bachelor’s degree in business administration, public administration, nonprofit management, communications, health administration, or a related field is strongly preferred.
  • OR High School Diploma with subsequent training and significant relevant work experience in business administration, executive support, office administration, nonprofit administration, or a related field.
  • Minimum of five years’ work experience as an Executive Assistant supporting C-Suite, senior executive leadership, or equivalent high-level administrative functions.
  • Experience supporting an Executive Team, Board of Directors, Board Committees, leadership meetings, or other governance-related functions.
  • Experience drafting, editing, proofreading, formatting, and preparing executive-level correspondence, reports, presentations, meeting packets, minutes, and communications.
  • Experience tracking executive priorities, deadlines, action items, assignments, decisions, and post-meeting follow-up items.
  • Experience working with confidential, sensitive, legal, governance, compliance, audit, financial, or executive-level documents and information.
  • Knowledge and experience working in a nonprofit organization is preferred.
  • Experience supporting compliance, audit, accreditation, annual reporting, tax returns, corporate records, or similar regulatory documentation processes is preferred.
  • Possession of a valid driver’s license and access to a private vehicle for day-to-day job performance
  • Obtain and maintain Notary Public authorization.

Skills Required

  • Bachelor’s degree in business administration, public administration, nonprofit management, communications, health administration, or a related field; alternatively, a high school diploma with subsequent training and significant relevant experience.
  • At least five years of experience as an Executive Assistant supporting C-suite or senior executive leadership, or performing equivalent high-level administrative functions.
  • Experience supporting an Executive Team, Board of Directors, Board Committees, leadership meetings, or governance-related functions.
  • Experience drafting, editing, proofreading, formatting, and preparing executive correspondence, reports, presentations, meeting packets, minutes, and communications.
  • Experience tracking executive priorities, deadlines, action items, assignments, decisions, and post-meeting follow-up items.
  • Experience handling confidential, sensitive, legal, governance, compliance, audit, financial, or executive-level documents and information.
  • Knowledge and experience working in a nonprofit organization.
