Position Summary
Dhaka Technologies Limited Company is hiring on behalf of its client, the Office of General Counsel of a Florida state government agency, for an Executive Assistant supporting a legal team.
The client is seeking a paralegal or legal secretary with 3 to 5 years of experience who is familiar with the Florida court systems and comfortable supporting 3 to 4 attorneys. The role requires hands on experience filing documents with the court, contacting judicial assistants, and managing attorney case files and calendars, along with a working knowledge of general court systems.
Day to day work includes basic word processing, using templates to draft correspondence, and creating legal documents.
Key Responsibilities
- Act as the legal secretary for assigned attorneys.
- Format, finalize, type, and file documents.
- Prepare letters and legal documents from drafts.
- File pleadings and motions with the appropriate tribunals.
- Serve or arrange service of legal documents, and maintain attorney case files.
- Prepare subpoenas and discovery requests, schedule hearings, trials, and depositions, and arrange facilities as directed.
- Retain and schedule court reporters, and obtain transcripts.
- Manage attorney calendars and contact judicial assistants as needed.
- Perform general secretarial duties, including handling phone calls and making travel arrangements.
- Close case files and support office management as needed.
Requirements
Required Qualifications
- Ability to speak and understand English. Required.
- High school diploma at minimum. Required.
- 3 to 5 years of experience working as a paralegal or legal secretary. Required, 3 years.
- Proficiency with Microsoft Office, including Word, Outlook, Excel, and PowerPoint. Required, 3 years.
- Experience preparing legal documents and subpoenas. Required, 3 years.
- Experience preparing discovery requests and scheduling hearings, trials, and depositions. Required, 3 years.
- Experience formatting, finalizing, typing, and filing documents. Required, 3 years.
- Experience preparing letters and legal documents from drafts. Required, 3 years.
- Experience filing pleadings and motions with the appropriate tribunals. Required, 3 years.
- Experience managing daily calendars for executive management. Required, 2 years.
- Experience managing travel arrangements. Required, 1 year.
Preferred Qualifications
- Experience working within the Florida court systems. Highly desired.
- Associate's or Bachelor's degree. Desired.
- Experience supporting a team of 3 to 4 attorneys.
