Executive Assistant provides a wide variety of high-level support and administrative management to senior executive(s). This position is proactive and continually looking for ways to assist the supported executive.

        

Essential Duties and Responsibilities

  • Manages daily administrative needs of executive including ordering supplies, answering phones, maintaining records, creating files, managing email and other support duties as needed.
  • Manages communications to and from the executive’s office and actively manages their calendar to ensure limited time spent on high priority activities.
  • Prepares various correspondence, memorandums, and reports for executive officer(s).
  • Manages all department communications, activities, rosters, and coordinates events for the department or market.
  • Work with stakeholders to ensure materials are prepared and available in advance to ensure best use of meeting time. Manages all AV needs for the meeting.
  • Manages expense reports and travel coordination and preparation
  • Responds to customer and/or associate inquiries/complaints directed to executive officer(s).
  • Acts as a liaison with vendor management in getting agreements through process to approval.
  • Creates forms, processes and/or procedures, reports and presentations; assists the responsible executive with implementation, communication, maintaining, tracking and evaluation of these methods to ensure effectiveness, efficiency, adherence and compliance.
  • Gathers, prepares and submits regulatory and exam responses after review by executive.
  • Interfaces with associates and executives throughout the department to research and collect needed information; examines and analyzes collected data; and communicate results and recommendations
  • Assists on special projects. Duties may include; acting in executive(s) absence, reviewing status of project and activities to ensure timely completion, sending follow up emails and informing executive of ongoing status.
  • Ensures all departmental documents and activities are performed in compliance with applicable laws, regulations, policies and procedures as applicable to this position, including completion of required compliance training.
  • Performs other duties and responsibilities as assigned.

Skills

  • Ability to read and interpret documents such as procedure manuals, general business correspondence and/or journals or government regulations
  • Ability to write routine reports and business correspondence
  • Ability to respond in writing to customer complaints, regulatory agencies or members of the business community
  • Ability to effectively present information in one-on-one and small group situations, to customers, clients and other employees in the organization
  • Ability to research, analyze and make recommendations on business problems assigned by executive(s)
  • Ability to anticipate needs of executive and manage in advance of requests
  • Ability to read and understand budgets as well as basic accounting of expenses. Skilled user of Microsoft Office tools – specifically Outlook, Excel, PowerPoint, and Word
     

Education and/or Experience  

  • HS Diploma/GED or
  • AS/AA Degree or specialized training preferred
  • Minimum 6 years work experience as Senior Executive Assistant or equivalent job role
