Job Overview

This position reports to Executive Vice President of Administration. This role serves as a critical role in a business by assisting key credit union executives and Board members with scheduling, organization and administrative tasks. The Executive Assistant provides support to the CEO and Executive staff through scheduling; reviewing, prioritizing and responding to emails; answering and returning phone calls; organizing documents; maintaining records; taking notes at meetings and any other administrative tasks The Executive Assistant also serves as a liaison to the Board of Directors and Supervisory Committee. This role requires the ability to exercise good judgement and confidentiality in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain balance among multiple priorities. $22.16-$33.23

Qualifications

Skills and Experience 

  • Education - High degree or equivalent. Some college preferred.
  • Minimum five years secretarial or administrative experience
  • Minimum of 1 year of customer service experience preferred
  • Previous credit union experience is a plus
  • Demonstrated leadership and interpersonal abilities
  • Understanding of financial industry concepts, related laws, and regulations
  • Must have good communication and interpersonal skills
  • Critical thinking and problem-solving skills
  • Detail-oriented, and strong ability to multi-task
  • Proficient in Microsoft Office and web-based applications

 

Role Description and Essential Duties 

  • Assumes responsibility for the effective performance of assigned secretarial and clerical functions.
    • Manage sensitive matters with a high level of confidentiality and discretion
    • Screen incoming telephone calls and visitors; take and deliver accurate messages
    • Sustain a daily calendar of meetings and events
    • Produce a variety of documents including memos, letters, and reports
    • Transcribes taped recording as needed
    • Electronically files correspondence, memos, records, Board packets, and reports
    • Maintains files for contracts and property closings documents.
    • Sorts and distributes incoming mail to appropriate departments and branches
    • Prepares all travel arrangements for CEO, Board of Directors and Supervisory Committee; prepares travel expense reports
    • Orders and screens all office supply orders
    • Responsible for duplicate company vehicle keys
    • Assigns purchase order numbers and maintains log 
    • Aids in proofing, rewriting, and researching letters, documents, policies and procedures as required
    • Updates and maintains policy list and notifies appropriate personnel of action items
    • Initiates service calls for various office equipment
    • Reconciles Board of Director, Supervisory Committee and Executive staff’s corporate credit card monthly statements
    • Coordinate annual Strategic Planning session
  • Assumes responsibility for preparing and maintaining assigned records and reports.
    • Assembles, tabulates, calculates, and maintains reporting and statistical data on a regular and special basis 
    • Performs required research for and prepares documents and reports
    • Assembles internal reports submitted to Board of Directors and committees
  • Assumes responsibility for maintaining effective business relations with Credit Union members, vendors, and other business professionals.
    • Resolves or appropriately refers questions, requests, complaints, and problems
    • Obtains and conveys information as needed and appropriate
    • Promotes goodwill and conveys a positive image of the Credit Union
  • Assumes responsibility for establishing and maintaining effective working relationships with area staff and with management.
    • Assists managers, supervisors, and other personnel as needed
    • Keeps management informed of area activities and of any significant problems
  • Assumes responsibility for related duties as required or assigned
    • Performs miscellaneous clerical and administrative tasks
    • Performs special projects as assigned
  • Compliance
    • Complies with all Bank Secrecy Act (BSA) rules and regulations, in addition to Customer Identification Program (CIP); attends required annual BSA training and required compliance training

 

Skills Required

  • High school degree or equivalent
  • Some college
  • Minimum five years secretarial or administrative experience
