Allflight Corporation is seeking an Executive Assistant to the CEO (Bilingual Preferred: Chinese & Spanish).  The ideal candidate will be an executive strategic partner capable of managing a fast-paced executive schedule, coordinating international business communications, and ensuring smooth day-to-day operations.  This position extends beyond traditional administrative support. The strategic partner is expected to function as a high-level extension of the CEO, protecting executive focus, driving follow-through, and maintaining continuity during periods of heavy travel and operational load.  We offer competitive rates, paid vacation & holidays, medical, dental & vision insurance and matching 401k. RESPONSIBILITIES:

Key responsibilities include absorbing and prioritizing incoming demands, representing the CEO in select meetings when appropriate, and ensuring that only high-value decisions require direct CEO involvement.

  • The role requires proactive ownership of projects, independent follow-up, and forward planning rather than reactive task execution.

  • The position also includes active management of schedule intensity and recovery, particularly following extended international travel, as well as full ownership of day-to-day office logistics to ensure sustained executive performance:

    • Manage CEO’s calendar, travel, and meeting logistics
    • Draft and edit correspondence, reports, and presentations
    • Coordinate across departments, vendors, and international partners
    • Track action items and follow-ups across multiple business units
    • Serve as a liaison and communication hub for internal and external stakeholders
    • Assist in research, event preparation, and high-priority projects
Qualifications

The ideal candidate will demonstrate proven experience supporting senior executives across complex, multi-entity environments. A high level of judgment, discretion, and executive presence is required, including comfort interfacing with senior stakeholders and high-net-worth individuals on behalf of the CEO.

  • Strong communication skills - Effective English oral and written communication required
  • Must be able to develop strong relationships with colleagues, clients and other stakeholders
  • Good analytical and problem-solving skills
  • Must be able to work alone, without direction, and with minimal supervision
  • Candidate must be highly organized and proactive
    • Capable of prioritizing tasks and managing time effectively
    • Maintain accuracy of records 
    • Able to use technology to for organization
  • Proficient in Microsoft Office and able to quickly learn and adapt to new tools and technologies as they are introduced 
  • Must be able to able to adhere to strict confidentiality agreement
