The Executive Assistant provides high-level administrative and operational support to the Global Transformation Officer and the Global Head of Transformation Enablement. This role requires exceptional organizational skills, discretion, judgment, and the ability to manage complex priorities in a fast-paced global environment. The Executive Assistant serves as a trusted partner, helping to coordinate schedules, manage communications, support meetings and events, and ensure smooth execution of day-to-day activities and transformation initiatives.
Work Arrangement:
This is a full-time position based in our New York City or Jersey City offices. The successful candidate will be expected to work in the office a minimum of four days per week. Given the global scope of the executives supported, flexibility outside of standard business hours—particularly for early morning or evening communications across international time zones—is required.
Key Responsibilities:
Executive Support: Provide proactive administrative support to both leaders, including calendar management, meeting coordination, travel arrangements, expense processing, and correspondence.
Scheduling and Prioritization: Manage complex and frequently changing calendars, resolve scheduling conflicts, and prioritize meetings based on business needs and leadership direction.
Meeting Coordination: Prepare agendas, organize materials, coordinate logistics, capture action items, and follow up on deliverables for meetings and leadership forums.
Communication Support: Draft, edit, and proofread emails, presentations, and other communications on behalf of the leaders as needed.
Stakeholder Coordination: Liaise with internal and external stakeholders across regions and functions to support effective communication and timely follow-through.
Transformation Support: Assist with coordination of transformation-related activities, including planning sessions, status updates, documentation, and tracking key actions.
Confidentiality and Judgment: Handle sensitive and confidential information with discretion and professionalism.
Process Improvement: Identify opportunities to improve administrative processes, streamline workflows, and increase efficiency.
Event and Logistics Support: Support leadership meetings, offsites, workshops, and special events, including venue coordination, materials, and logistics.
Administrative Operations: Maintain organized records, manage shared files, and support general office and administrative needs as required.
Qualifications
- Proven experience supporting senior executives in a global or matrixed organization
- Strong organizational, time management, and prioritization skills
- Excellent written and verbal communication skills
- High level of professionalism, discretion, and confidentiality
- Ability to work independently and manage multiple priorities with minimal supervision
- Strong proficiency in Microsoft Office tools, especially Outlook, PowerPoint, Word, and Excel
- Demonstrated ability to build effective working relationships across levels and functions

The pay range for the role is $100,000-$125,000. The specific offer will depend on an applicant’s skills and other factors.
