Position OverviewWe are looking for an experienced Executive Assistant / Paralegal to support our Founder and CEO at SafeLease. This is a hybrid role that requires experience in both executive support and paralegal work. You'll manage the CEO's day-to-day schedule and priorities while also supporting legal, corporate, and administrative matters across the business.
The Executive Assistant / Paralegal will work on matters at SafeLease and also assist with administrative and legal matters related to the Founder-CEO's private investment fund. This is an in-office role based in Austin, Texas and will report directly to our Founder and CEO.
About the RoleThis role is a good fit for someone who has supported a senior executive while also handling paralegal responsibilities. You'll need to be highly organized, comfortable managing a busy calendar and changing priorities, and able to handle contracts, corporate documents, legal requests, and other paralegal work.
The right person has good judgment, communicates well, and is comfortable taking ownership and figuring out what needs to get done. You'll work closely with our CEO and have access to confidential business and personal information, so discretion is extremely important.
Your Day-to-DayExecutive SupportManage the CEO's calendar, meetings, and appointments
Book domestic and occasional international travel
Process expenses and assist with other administrative tasks
Screen and prioritize emails and correspondence
Prepare documents and materials for meetings
Track follow-ups and help keep the CEO's priorities moving forward
Act as a point of contact between the CEO and employees, customers, business partners, and other external contacts
Assist with day-to-day administrative matters related to the CEO's private investment fund
Handle confidential information with discretion
Assist with contracts, agreements, corporate documents, and other legal matters
Prepare, review, organize, and maintain legal and corporate records
Coordinate signatures and execution of legal documents
Maintain corporate records and assist with entity management
Track legal, regulatory, contractual, and filing deadlines
Assist with regulatory filings and compliance-related matters
Conduct legal and regulatory research as needed
Coordinate with outside counsel and manage requests for documents and information
Assist with document collection and due diligence for transactions, investments, audits, and other projects
Maintain organized and up-to-date legal files and records
Help coordinate meetings, visitors, and company events
Assist with office logistics and vendors when needed
Support onboarding and other administrative projects
Jump in on other projects and priorities as they come up
3+ years of professional experience, including 2+ years of paralegal experience.
Experience directly supporting a CEO, founder, or other senior executive
Hands-on paralegal experience, including working with contracts, legal documents, corporate records, or regulatory matters
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Ability to manage multiple priorities and shift gears when needed
Good judgment and the ability to handle highly confidential information
Ability to work independently and take ownership of your work
A proactive attitude and willingness to jump in where needed
Comfortable working directly with a CEO in a fast-moving environment
Bachelor's degree or paralegal certificate preferred
