Job DescriptionJob Summary
You will report to the SVP of Global Finance Systems & Automation and support them, their team, and the VP of GFS Global SSC in North America. You will manage calendars, coordinate travel, organize meetings and events, and assist with onboarding and internal communications. You will thrive in a fast-paced, global environment and can independently manage shifting priorities while delivering high-quality administrative support.
Main Responsibilities
- Calendar & Meeting Management: Manage executive calendars, prioritize appointments, resolve scheduling conflicts, and coordinate logistics for meetings and events.
- Travel Coordination: Arrange business travel including flights, accommodations, and transportation, ensuring compliance with company policy and providing detailed itineraries.
- Meeting Preparation: Organize executive and team meetings, prepare and distribute agendas, collect pre-reading materials, and ensure all logistics are in place.
- Administrative Support: Attend meetings when needed, take notes, track action items, and send reminders to ensure follow-through.
- Document & Expense Management: Draft and edit presentations and documents, manage expense reports, and handle purchase requisitions and invoice approvals.
- Team Support & File Management: Support GFS leads with ad-hoc tasks, maintain organized and confidential filing systems, and assist with onboarding and internal communications.
- 1+ years of experience in administrative or assistant roles, including internships, supporting executives or senior leadership.
- Advanced English proficiency (mandatory), with strong written and verbal communication skills across global teams and time zones.
- Skilled in Microsoft Office Suite, especially PowerPoint, with experience supporting presentation deck creation and management.
- Proficient in scheduling and coordination, including meetings, travel arrangements, and proactive follow-up on tasks and deliverables.
- Familiarity with expense management and travel booking tools, ensuring efficient logistical support.
- Interest in career growth toward a senior Executive Assistant or operations-focused role.
