Job Description:

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will be a master of multitasking, possess exceptional communication skills, and exhibit a high level of professionalism and discretion. This role requires the ability to anticipate needs, prioritize tasks effectively, and maintain a strong attention to detail in a fast-paced environment. This role will require onsite attendance in our Bloomington, MN headquarters when senior leaders are present (typically ~2 weeks per month).

Responsibilities:

  • Administrative Support: Provide high-level administrative support to executives, including managing calendars, scheduling meetings, coordinating travel arrangements, and handling expense reports.
  • Communication Management: Serve as the primary point of contact for internal and external communications on behalf of the executives, including screening and prioritizing emails, phone calls, and other correspondence.
  • Meeting Coordination: Prepare meeting agendas and distribute relevant materials as needed. Ensure seamless communication and coordination among team members. Prepare onsite meeting spaces.
  • Project Assistance: Assist in the planning, coordination, and execution of special projects, events, and initiatives as assigned by executives.
  • Research and Analysis: Conduct research, compile data, and prepare reports or presentations as requested by executives to support decision-making processes.
  • Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including clients, partners, and vendors.
  • Task Prioritization: Assess and prioritize incoming requests, tasks, and deadlines to ensure timely completion and alignment with organizational goals.

Qualifications:

  • Proven experience as an executive assistant or similar role, preferably supporting C-level executives or senior management.
  • Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
  • Strong written and verbal communication skills, including professional phone etiquette and the ability to draft correspondence with accuracy and clarity.
  • Proficiency in office productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management software.
  • Discretion and confidentiality in handling sensitive information and communications.
  • Proactive attitude with a strong sense of initiative and problem-solving skills.
  • Strong attention to detail and proven ability to complete work accurately.

The targeted hiring base pay range for this position is between $56,250 and $75,000. DTN is a pay for performance organization, which means there is the opportunity to advance your compensation with performance over time. The actual base pay offered for this position will be dependent upon many factors, including but not limited to: prior work experiences, training/education, transferable skills, business needs, internal equity and applicable laws. The targeted hiring base pay range is subject to change and may be modified in the future. This role may also be eligible for market competitive variable pay and benefits.
