JOB OVERVIEW:

The Data Operations Manager improves the effectiveness and efficiency of school operations by maintaining a comprehensive data management plan and monitoring the fidelity of plan implementation. This includes configuring standard reports, supporting data analysis, and defining and monitoring operational performance metrics. The Manager will develop training materials, develop reporting schedules, and collaborate with the school leadership team to evaluate progress to refine operational processes to enhance program effectiveness. The Manager is responsible for configuring PowerSchool to meet operational, billing, regulatory, and performance needs. In addition, the Manager establishes data management protocols, delivers training and technical assistance, and monitors the fidelity of implementation of data management protocols. The position reports to the Executive Director of Education Services and coordinates with the Fairwold Academy leadership team as well as key members in the fiscal, compliance, HR, and risk management departments.

RESPONSIBILITIES:

Leadership

  • Oversee the systems, approach, and effectiveness of the Fairwold data management program and serve as the super administrator for the student information system (currently PowerSchool) and the student behavior reporting system (currently SWIS).
  • Manage information system vendor contract scopes including system configuration, coordination of technical assistance, and training resources.
  • Design and execute data projects, track deliverables, and provide status updates to program leadership.
  • Lead PowerSchool Analytics & Insights activation with the PowerSchool Account Manager.
  • Create data collection and management policies and protocols.
  • Monitor data systems to assess adherence to data management protocols.
  • Coordinate with the school leadership team to develop training and resources to achieve compliance with data management protocols.
  • Design and lead the implementation of data protocols that ensure the accuracy and effectiveness of operational activities.

Data Analysis and Reporting

  • Define and monitor Fairwold operational indicators and compliance measures that demonstrate progress toward established targets.
  • Configure standard report formats for operational areas in coordination with school leaders to ensure reports can be used to monitor performance and operational metrics.
  • Integrate data across multiple systems to analyze trends in Fairwold operations and identify trends, shifts, disparities, and improvements.
  • Analyze and improve business processes, workflows, and school-based systems to enhance productivity, including decommissioning of Excel-based tracking and utilization of data system-supported reporting.
  • Evaluate student, staff, and organizational data to monitor timeliness and quality of data entry, generate reports, and generate insights to improve operations.
  • Manage Pennsylvania Department of Education (PDE) data systems, reports, uploads, and communications as directed.
  • Prepare scheduled and ad hoc reports with narrative and quantitative content for Fairwold leadership, PHMC leadership, funders, and external stakeholders.

Data Supports and Training

  • Guide school leadership in generating, interpreting, and applying the data available in standard reports.
  • Develop training materials and conduct data-related training and professional development for staff.
  • Deliver workshops on technical tools or new procedures.
  • Develop and maintain a comprehensive library of standard operating procedures and training documentation for staff on data entry protocols.
  • Manage access, roles, and permissions of staff to school data systems.

Other Duties

  • Participate in community events, conferences, and training.
  • Perform other agency-related duties or special projects as directed by supervisor.

WORK SCHEDULE:

Typical duties will occur Monday-Friday between 8:00 a.m. and 4:00 p.m. However, occasional weekend and evening activities may be required.

SKILLS:

  • Experience with education data analysis, education administration, and school operations
  • Strong ability to analyze complex information, identify trends, and develop solutions
  • Proficiency in education management information systems and data visualization tools
  • Ability to present findings clearly to both technical and non-technical staff
  • Experience with PowerSchool is required
  • Strongly Preferred: Experience with SWIS
  • Excellent oral and written communication skills with diverse populations
  • Excellent ability in time management, organizing resources, and establishing priorities
  • Technologically proficient, specifically in Microsoft Word, Excel, PowerPoint, and Outlook
  • Demonstrated ability to manage projects to completion
  • Proven ability to work cross-functionally with clinical, educational, and financial teams
  • Model traits of a responsible team member by executing job responsibilities, open communication, and timely follow-through; support team members to do the same
  • Comply with all Fairwold and PHMC policies and procedures
  • Maintain and promote confidentiality

EDUCATION:

Master’s degree in education, business administration, information science, social services, or a related field required

EXPERIENCE:

  • Minimum of three years of experience in education administration and operational data analysis
  • Extensive experience working with schools and education organizations
  • Experience working with education administration, compliance monitoring, quality improvement, and data-informed operations improvement
