Summary:

The Coordinator Payroll is responsible for performing all activities to process weekly hourly payrolls timely and accurately.  Ensures that timekeeping information is properly processed each week, inputs data necessary for payroll processing and audits data provided by other areas such as HR that support payroll processing.  Performs other payroll duties such as tracking and reporting of garnishments, vacation, and time-off reporting, and answers questions from employees regarding pay.


Essential Duties and Responsibilities:

  • Perform all activities necessary to process payroll with accuracy each week.  This includes validating employee information records for accuracy based on changes submitted through the system, updating employee profiles/pay rules for timekeeping, and ensuring cost center/wage group information is accurate for general ledger reporting.
  • Audit electronic time off submissions through the timekeeping system and make necessary edits to ensure employees are paid correctly.  Manually update bereavement, jury duty, and military hours to the timecards with proper forms and documentation.
  • Complete weekly timecard audits to ensure accuracy of shift differential hours, retro pay, double time hours, and overtime hours calculations.  Communicate with supervisors/managers to resolve any issues during the audits prior to closing the timecards weekly.  
  • Maintain compliance and process involuntary deductions, such as child support orders, garnishments, and levies as required.  Review reports to ensure proper payments are made to the courts timely.
  • Analyze system generated reports, such as registers, for accuracy prior to processing.
  • Review exceptions for attendance tracking, applies attendance rules, and assist in updating automated attendance documents upon receipt.
  • Respond to questions and special requests from employees and management.
  • Complete and return verifications of employment timely.
  • Assist in auditing monthly accruals and adjusting any corrections due to hours worked and leave of absences.
  • Execute information gathering as requested for payroll data for periodic audits.
  • Assist in special projects as needed.

Competencies:

  • Must have accurate data entry and above average math skills
  • Must have a good understanding of the payroll processes and general accounting procedures
  • Excellent oral and written communication skills
  • Intermediate Microsoft Word and Excel, to include vlookup formulas and pivot tables
  • Basic office skills and abilities knowledge of Adobe, Teams, PowerPoint, Outlook, Office 365
  • Ability to multi-task and prioritize assignments under pressure in a fast-paced environment

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Qualifications

Education Requirements:

Associate degree in accounting or equivalent experience. Preferred Bachelor’s Degree or equivalent work experience in accounting or finance.   

 

Experience Requirements:

  • 2+ years’ experience in payroll/human resources; including multi-state payroll laws, taxation procedures, general accounting procedures and Excel spreadsheet preparation.
  • Must have experience with Kronos Workforce including processing, set-up, and maintenance. 

Skills Required

  • Accurate data entry and above average math skills
  • Understanding of payroll processes and general accounting procedures
  • Excellent oral and written communication skills
  • Intermediate Microsoft Excel including VLOOKUP formulas and PivotTables
  • Proficiency with Microsoft Word, Outlook, PowerPoint, Teams, Office 365 and Adobe
  • Ability to multi-task and prioritize in a fast-paced environment
  • Associate degree in accounting or equivalent experience
  • Bachelor's degree in accounting or finance preferred
  • 2+ years' experience in payroll/human resources including multi-state payroll laws, taxation, and general accounting
  • Experience with Kronos Workforce (processing, set-up, and maintenance)
