ABOUT THE JOB

 

 

The Payroll Coordinator is responsible for the accurate preparation, processing, verification and distribution of payroll utilizing the ADP Vantage system.

This position also performs critical quarter-end and year-end processes such as W-2s, 941s, Annual Statements of Deposits and Filings (SODs), 940 Employer's Annual Federal Unemployment (FUTA) Tax Returns and W-2Cs.

 

WHAT YOUR DAY WILL LOOK LIKE

 

  • Processes company payrolls using ADP Vantage software.
  • Enters hours, special pay, deductions and refunds into payroll system.
  • Provides the Treasury Department with tax, garnishment and net pay wire funding requirements
  • Prepares manual payroll checks (off-cycle runs) as required for special payments.
  • Handles financial account reconciliations, payroll account accruals and payroll expense accruals for the accounting team.
  • Monitors and manages pay cards, direct deposits and reissuance of lost, damaged or uncashed checks.
  • Prepares reports required for audit operations including audits by external accounting firms, internal accounting audits, local, state and federal government audits.
  • Monitors and gathers information on uncashed payroll checks past 180 days and either reissues check or turns it over to the unclaimed property coordinator on the accounting team.
  • Troubleshoots ADP Vantage system issues in the payroll and time and attendance modules and uses analytical and research skills for problem determination, notification, escalation and resolution.
  • Performs the general ledger download from the ADP GL, reviews the detailed data for accuracy, conducts research on GL errors and makes the appropriate changes before uploading the general ledger figures into Oracle.
  • Provides excellent customer service to all internal and external customers.
  • Other work-related duties as assigned by leader.
  • Reliable and regular attendance is required.
  • Follows all company policies and procedures.

 

EDUCATION & EXPERIENCE

 

  • Associate's degree in human resources management, accounting, finance or other business related field is required.
  • Three years of extensive multi-state payroll processing experience in a computerized environment is required.
  • ADP Vantage payroll systems experience is highly preferred.

 

SKILLS & QUALIFICATIONS

 

  • Ability to multi-task, work under pressure and meet strict government mandated deadlines.
  • Excellent math skills.
  • Enjoys dealing with numbers and has an analytical mind with an aptitude for problem solving.
  • Attention to detail with the ability to check your own work and the work of others for accuracy and precision.
  • Working knowledge of laws and legislation relevant to payroll and accounting such as state by state termination pay (i.e. CA, OR, CO, etc.), wage and hour laws, JSOX, FLSA, Social Security thresholds, IRS regulations, etc.
  • Computer skills including working knowledge of Microsoft Office (especially Excel, Word, and Outlook) are required.
  • Time management and organizational skills.
  • Ability to analyze, research, escalate and resolve payroll and accounting issues.
  • Prior experience with time and attendance and human resources information systems and payroll processing systems is preferred.
  • Ability to read, write and speak in English is required.
  • Communicating in Spanish is a valuable skill at Helena.
 
Successful completion of a drug screen and background check is required for all positions at Helena.

The work environment for this position is that of a typical office environment where the noise level is mostly quiet. This position requires you to use your hands for many different tasks and to talk, hear, walk, stand and sit. You may be occasionally required to lift or move up to 10 pounds.
