The Contract Coordinator will work as part of the Vendor Lead team, supporting the development, administration, and execution of Vendor Platform agreements with selected vendors. The role combines structured coordination, contract administration support, vendor engagement, reporting, and process follow-up to help ensure that VP activities are executed efficiently, accurately, and in line with agreed timelines.
This role operates in a global business environment and requires regular interaction with vendors, Legal, business units, finance, and the VP Lead team. The Contract Coordinator is expected to combine accuracy in administration with practical commercial judgement, strong follow-through, and professional communication with internal and external stakeholders.
Key Responsibilities
Support the VP Lead team in developing, coordinating, and executing VP agreements with selected strategic vendors.
Administer VP-related systems and maintain accurate records across OneDrive, Agiloft, and the VP Master Register.
Maintain repositories of NDAs, VP agreements, meeting minutes, and other program documentation, ensuring controlled distribution and easy access for authorized stakeholders.
Coordinate invoicing activities related to VP vendors and support timely resolution of administrative or documentation issues.
Communicate VP-related requests to Legal through Agiloft and coordinate Legal review of NDAs, VP agreements, and related contractual documents.
Coordinate the vendor qualification process, including collection, tracking, and follow-up of required information and approvals.
Expedite VP process steps according to agreed timelines and proactively follow up with internal stakeholders and vendors to prevent delays.
Coordinate quarterly calls with vendors, including scheduling, agenda preparation, documentation, and follow-up of actions.
Generate dashboards, reports, and structured data summaries for management review, program tracking, and analysis.
Perform selected vendor shop visits to support relationship management, qualification activities, and program follow-up.
Perform NDA and VP negotiations with selected vendors within agreed guidance and in coordination with Legal and the VP Lead team.
Lead quarterly calls with selected vendors, ensuring clear communication, alignment on priorities, and follow-through on agreed actions.
