This position reports to the Business Project Manager of HK COO Office.
Primary Responsibilities
- Provide project support for assignments / projects driven and executed by HK COO Office.
- Assume the role of secretary to support the HK COO / supervisor in ensuring the smooth functioning of the various Committee/Focus group/Forum meetings.
- Provide administrative support to HK COO as required, including but not limited to scheduling appointments and filing expenses claims
- Other ad hoc tasks as and when required
MAIN DUTIES
1. Project Support
- Organizational and analytical capability in dissecting business and project requirements
- Compile and consolidate progress reports/statistics for Management review.
- Provide support on HK COO lead projects when required and prepare agenda, meeting presentation slides and minutes as well as other logistic supports
- Good problem-solving capability and ability to work with relevant stakeholders to obtain relevant information, as well as to add value to facilitate project completion.
- Provide support on ad hoc projects/ tasks (e.g. DPS annual drill / reporting, procedures updating, outsourcing activities review) as and when required.
2. HK Management Governance Committee
Bank Culture Focus Group
HK Sustainability Forum
- Coordinate the regular Management Committee / Focus Group / Forum meetings to ensure meetings are effectively organised and proper records are maintained.
- Prepare meeting agenda and minutes. Follow up with relevant stakeholders on pending follow-up actions and presentation material.
- Assist HK COO / supervisor to organise activities and drive initiatives to promote a sound bank culture and foster staff awareness towards a more sustainable business model.
3. Audit Reporting for BOS HK Branch
- Follow up with relevant action owners to speed up the closure process.
- Prepare regular management reporting to facilitate Management oversight.
4. DPS Coordinator / Outsourced activities (OS-21)
- To coordinate with the relevant parties to review the DPS reporting procedures & DPS Reporting Drill Test plan and coordinate for testing and reporting activation.
- To coordinate with relevant parties of HK Branch on the review of the outsourced activities.
Who you are:
- Bachelor’s degree in Finance, Economics, or relevant discipline.
- 1-5 years’ experience in banking or financial institutes. Exposure in Private Banking is preferable.
- A driven self-starter with good communication and interpersonal skills
- Attentive to details, thrive in a fast- paced environment and is resilience to work under pressure
- A good team player
- Preferable for candidates with HKIB Enhanced Competency Framework (ECF) professional qualification
